Durham Academy, a PK-12 independent day school in Durham, NC, is seeking a passionate, hard working and eager individual to join the athletics department as an administrative assistant. This is a full-time 12-month position with benefits with a start date of July 1, 2025. Typical hours will be Monday - Friday from 9 : 30 a.m. to 5 : 30 p.m. with occasional weeknight and weekend event coverage required.

In keeping with the mission of the school - to prepare each student to live a moral, happy and productive life - this position will support the experience and development of student-athletes. This position reports to the Director of Athletics and will work closely with three assistant athletic directors, two athletics interns, coaches and student-athletes.

Job Responsibilities

  • Provide administrative support to the Director of Athletics and coaching staff

Serve as the first point of contact from the athletic department for coaches, parents, and peer schools

  • Confirm games and contests with opposing schools and officials
  • Handle new coach and staff onboarding and paperwork
  • Coordinate sport sign-ups, roster management, and handle all student-athlete paperwork
  • Assist the Sports Information Director with website updates, photo management, and livestream production
  • Help with volunteer recruitment and coordination with our Parents Athletic Committee
  • Act as the liaison between the athletics department and the business office; work with the AD on budgeting and paying invoices, officials, and employee reimbursements
  • Coordinate, order, and organize team and coaches gear
  • Build and maintain a database of historical rosters, records, and awards
  • Manage outside athletics facility rentals
  • Other duties as assigned by the AD or Asst AD
  • Act as the School-wide transportation coordinator
  • Schedule all athletics travel to include assigning busses and drivers

  • Work with Division Administrative Assistants to schedule and coordinate academic and extracurricular bus needs
  • Maintain database of both CDL and mini bus drivers and help secure drivers for school trips
  • Experience and Qualifications

  • A Bachelor's degree and at least three years of experience in an administrative support position. An athletics background is preferred.
  • Proficiency with Microsoft Outlook, Office and Google Drive
  • Strong communication and interpersonal skills
  • An eagerness to dive into all facets of our independent school athletics program
  • An ability to maintain positive, collaborative working relationships with all members of the athletics program (student-athletes, families, alumni, teachers, staff, administrators, coaches and spectators)
