Hours: Generally Monday through Friday8:30 a.m. - 4:30 p.m., but may vary based on operational need.

POSITIONSUMMARY:

This highly skilledparaprofessional position requires the exercise of considerable initiative,independent judgment, high-level administrative work, and discretion to supportand facilitate the role of the Clinical Affairs Faculty and the ClinicalAffairs Department.

The positionreports to the Chair of Primary Care, Clinical Affairs.

DUTIES AND RESPONSIBILITIES:

Provides overall administrative support to the Chair of Primary Care and theDivision Chiefs under the Department of Primary Care in the College ofOsteopathic Medicine (COM) :

Takesproactive initiative to support the daily functioning of the Chair and DivisionChiefs.

Managesthe Chair and Division Chiefs' appointment calendar and coordinates with otherswithin the COM, University, and outside entities to meet scheduling needs.

AssistsChair and Division Chiefs in preparing for lectures, labs, and all thingsrelated to delivering curriculum to students.

Develops and maintains syllabi, evaluations,schedules, etc., related to clinical courses using approved software, includingCanvas, One45 (Acuity Insights), and other software platforms used in thetracking and delivery of the clinical curriculum.

Collaborates with the Clinical Affairs and BiomedicalAffairs departments' staff and faculty, the medical education department, themedical registrar, students, and others in the COM (and at clinical sites whereapplicable) to ensure timely and accurate communication regarding studentschedules, assignments, clinical curriculum, evaluations, and grading.

Helps to administerand proctor examinations, including applicable NBOME COMAT examinations,according to required protocols.

Coordinates and disseminates a variety of internal andexternal communications and
records insupport of the student's curriculum experiences.

Assistsin travel arrangements and related events.

Manages multiple competing priorities and schedules simultaneously.

Assists in projects related to the Department of Primary Careand in the Simulation and Standardized Patient Center:

Takesresponsibility for assigned projects, completing related tasks, and identifyingand implementing strategies to improve processes and procedures related to theprojects.

Developsand maintains standard operating procedures (SOPs) for departmental processesand implementation of COM policies

Createsand maintains accurate files related to the departments, committees, events,and assigned projects.

Effectivelycommunicates with members of the team to ensure accurate record-keeping.

Facilitatesthe timely completion of assigned tasks through regular reminders andfollow-ups ahead of deadlines.

Assistsin the development of written and printed materials for projects,accreditation, curriculum documents, events, etc.

Helps tomaintain documents related to faculty and staff within the department.

Professionallyrepresents the COM.

Developmeaningful relationships while maintaining confidentiality and discretion incommunications.

Ensurefrequent and timely follow-up communications, proactively identify needs andresolve communication gaps.

Participatesin the College of Osteopathic Medicine events, including conferences, whitecoat ceremony, graduation, etc.

Serve oncommittees as assigned.

Completes otherduties as assigned.

REQUIREMENTS:

Minimum qualifications:

Associate degree from an accreditededucational institution in a related field.

Work-relatedexperience as an administrative assistant.

Skillsmust include:

Excellent timemanagement and organization skills

Strong technicalskills including Microsoft Outlook, Word, Excel, and PowerPoint, Telecommunications software (Ex: Zoom), Web-based software, Adobe PDFs.

Ability to workindependently on complex and confidential issues.

Experiencepreparing reports.

Ability to establish and maintaineffective working relationships with the University and COM communities.

Excellentcommunication skills.

Preferred qualifications:

Bachelor's degree in business administration or related field.

Work-related experience as an administrative assistant in ahealthcare-related or medical education field.

Demonstrated experience with, andunderstanding of, the broad diversity of the University community (students,faculty, staff, and others).

Alternatively,the successful candidate may possess any equivalent combination of experienceand training, which provides the knowledge, skills and abilities required toperform the essential job functions. This includes, but is not limited to, thefollowing:
