Position Description:
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role you will greet, assist, and provide direction and information to clients, landlords, visitors, and other guests of the organization. The ideal candidate will have outstanding people skills, multi-tasking talents, and excellent organizational skills. Your energetic approach and organizational skills will help create a positive first impression.
Essential Duties and Responsibilities:
- Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location
- Answers, screens, and directs phone calls to appropriate staff in a friendly and professional demeanor; takes messages
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items
- General support including making copies, scanning, and faxing documents
- Receives all items from the drop box outside (to be checked daily)
- Serves as a back-up to coordinate the Board Room and Zoom Media Room calendar and schedule appropriately
- Opening and checking the electronic schedule daily and notifying the arrival of appointments
- Writing up receipts or TPA’s (Tenant Paybacks)
- Performs basic filing and recordkeeping
- Performs administrative and clerical support tasks
- Performs other duties as assigned
Required Skills/Abilities:
- Excellent verbal communication skills, must communicate in a manner that shows genuine sensitivity and empathy to the needs and feelings of others
- Excellent interpersonal and customer service skills, which includes the ability to adjust communication style based on audience (individual or group) (internal or external customers)
- Basic understanding of administrative and clerical procedures and systems
- Proficient with Microsoft Office Suite or related software
- Highly detail-oriented and organized
- Strong ability to prioritize and multi-task, in a fast-paced environment
Education and Experience:
- This position requires a high school diploma or equivalent
- 1-2 years of customer service or related experience
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 10 pounds at a time
Pay Range:
$20.52 - $23.08 per hour
