Job Summary:
Manage front office and reception area, regularly interfacing with consumers, vendors, partners and public. Greet and assist all parties by providing assistance and/or referring them to the appropriate person/department. Perform related enrollment processing duties as assigned as well as support all departments with administrative and clerical support as needed. Provide exceptional customer service in person or while operating a multiline telephone system, answering and managing incoming calls and requests.
Essential Duties: Front Desk/Reception
· Oversee front office operations and functions including assisting visitors, receiving documentation, filing, photocopying, scanning & faxing.
· Follow all rules required to comply with confidentiality and HIPAA policies.
· Answer questions about the agency and provide general information about program requirements and application processes, by phone, in person, and via email.
· Become sufficiently knowledgeable about DuPage County health and community resources to confidently provide direction to enrollees and community.
· Receives, directs and screens calls from a multi-line switchboard.
· Assist Enrollment team with review and processing of completed applications when needed.
· Manage office supplies inventory, maintaining and ordering appropriate stock as needed.
· Receives, dates, sorts and forwards incoming mail, complying with office policies and procedures.
· Become knowledgeable with all office equipment and internal software.
· Document client engagement in files as needed.
· Assists with special project as assigned.
Education and Experience:
· Associate’s Degree or equivalent experience in Community Health or Social Services preferred.
· Must have exceptional client facing and telephone customer service skills and experience.
· Bilingual: Spanish/English required.
· Ability to read, analyze, and interpret fluently in both English and Spanish.
· Ability to draft reports, business correspondence, and communicate effectively via the written word.
· Ability to effectively present information and respond to questions from peers, managers, clients, customers, and the general public.
· Knowledge of Microsoft Office Word, Outlook, Excel, and a general understanding of technology.
Pay: $20.00 - $22.00 per hour
Expected hours: 40.0 per week
