LEGAL ASSISTANT / LAW OFFICE ADMINISTRATOR
Full-Time Personal Injury Law Office | Rocky River, Ohio
Starting pay is $24/hour, with higher compensation considered based on experience.
POSITION OVERVIEW
We are seeking a highly organized, detail-oriented Legal Assistant and Law Office Administrator to join our practice. This pivotal role is the backbone of the attorney's day-to-day operations - the attorney will rely heavily on this individual to keep the practice running smoothly, cases moving forward, and nothing falling through the cracks. Managing a caseload of 100 active matters simultaneously, this person must be someone the attorney can trust completely to handle responsibilities with minimal oversight. The ideal candidate has experience in plaintiff personal injury law, thrives in a fast-paced legal environment, possesses a strong command of Ohio Civil Procedure, and demonstrates exceptional initiative and problem-solving ability.
KEY RESPONSIBILITIES
Case Management & Court Filing
- Maintain and manage 100 active claim litigation files simultaneously
- Docket search and e-file in multiple Ohio counties in compliance with Ohio Rules of Civil Procedure
- Track and manage all court deadlines, hearings, and statute of limitations dates
- Monitor case status and maintain up-to-date records for all cases
- Manage disposals and case closures in accordance with Ohio Rules of Civil Procedure
Legal Document Preparation
- Draft complaints, motions, and other litigation pleadings
- Prepare and organize discovery documents and responses
- Complete and fill PDF legal forms and documents
- Prepare certified mailings, USPS, and FedEx correspondence
Records & Information Gathering
- Request and obtain police reports, photographs, witness statements, medical records, billing records, and public records from various entities
- Utilize MRO, Chartswap, Justice Bolt, MCS Direct, Records Imaging, and CIOX platforms
- Conduct computer-assisted legal and factual research
Calendar & Attorney Support
- Maintain attorney calendar, appointments, and scheduling
- Meet regularly with the attorney to review case status and priorities
- Serve as personal assistant to the attorney, anticipating needs proactively
- Perform receptionist duties including client intake and communications
Financial & Notarial Duties
- Maintain accurate and compliant IOLTA trust account records
- Prepare checks and process financial transactions per bar regulations
- Serve as a Notary Public for client and court-related documents
Office Administration
- Open, maintain, and organize physical and digital client files
- Operate copier, scanner, fax machine, typewriter, and related office equipment
- Manage jump drives and file storage across multiple systems
REQUIRED QUALIFICATIONS
Technical Skills
- Proficient in Microsoft Outlook, Word, and Excel - including advanced formula creation
- Heavy daily use of Al technologies and legal research tools
- Experienced with legal platforms: MRO, Chartswap, Justice Bolt, MCS Direct, Records Imaging, CIOX Ability to type proficiently on computer keyboard and typewriter
- Comfortable using PDF filler tools for legal documents
Legal Knowledge
- Prior experience in plaintiff personal injury law is strongly preferred
- Working knowledge of Ohio Rules of Civil Procedure
- Familiarity with legal terminology, litigation process, and court filing requirements
- Understanding of the discovery process
- Experience with statute of limitations tracking and disposals
- Knowledge of IOLTA compliance and trust accounting

The successful candidate will work directly alongside the attorney and is expected to manage a dynamic workload with competing deadlines. Strong confidentiality, professionalism, and a team-first attitude are essential.
