SUMMARY OF POSITION:

This position will be responsible for serving as the CHS Administrative Assistant-Attendance. This position has a need for strong verbal and written communication skills, attention to detail, impeccable guest service skills, ability to input data thoroughly and completely, and the ability to problem solve. This position will deal with community members, parents, students and staff on a regular basis and will be expected to interact with these publics in a professional, friendly, and organized manner. This position also requires the person to be very flexible in accepting assigned tasks by their supervisors with a strong sense of teamwork.

Starting Hourly Rate: $16/Hour

MINIMUM QUALIFICATIONS:

High school diploma or general education degree (GED). Educational training and experience preferred. The responsibilities and duties listed below are representative of the knowledge, skill, and/or ability required. Each essential function is mandatory to perform this job successfully. PRIMARY RESPONSIBILITIES AND DUTIES:
  1. Retrieve voicemails, answer incoming calls.
  2. Investigate why parents receive an unexcused call the previous night.
  3. Write school dismissal passes based on phone calls or student notes.
  4. Enter all call-offs into Skyward using appropriate coding.
  5. Monitor unexcused absences.
  6. Assign detentions for unexcused absences.
  7. Update attendance records in Skyward, ie; in and out times for student arrival or departure.
  8. Write admittance passes and/or tardy passes as students based on student arrival.
  9. Write truancy referrals.
  10. Communicate with teachers regarding homework requests, truancy referrals, and absence verifications.
  11. Enter nurse's office visits into Skyward.
  12. Assist students and parents with attendance questions.
  13. Validate attendance records with teachers, guidance, and assistant principals.
  14. Complete work permits.
  15. Initiate homework requests for students missing two days or more.
  16. Monitor and collect missing work for students.
  17. Update attendance on mass entries for field trips, sporting events, any school sponsored event that may require groups of students to miss a class.
  18. Input vocational school attendance.
  19. Complete and mail both five and ten-day attendance letters.
  20. Complete attendance and tardy reports to CHS administration on a weekly basis.
  21. Complete other duties as prescribed by CHS or Duneland School Corporation Administration.

  4. Ability to work independently and in a team environment
  5. Ability to multi-task with attention to detail
  6. Proficiency in the use of all clerical technology, i.e. copiers, phone
  7. Demonstrate professional phone etiquette at all times
  8. Proficiency in the use of and the ability to learn all clerical software, i.e. Microsoft Office, Google Suite
  9. Demonstrate organizational and time management skills
  10. Perform all other duties as assigned by immediate supervisor

The noise level in the work environment is usually moderate. The employee is protected from outside weather conditions, but not necessarily from temperature changes. There are no environmental hazards indicated for this position.

Equipment: This position is required to maintain a working knowledge of all classroom equipment. A basic knowledge of operations for computers, printers, telephone systems, fax machines and copiers is required.

Hours: This position is typically expected to work 8 hours per day and 180 days per year. Summer hours/days may be adjusted per the direct supervisor to assure adequate coverage to meet the demands of the district.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, sit, use hands to finger, handle, or feel objects, tools or controls, reach with hands and arms, and taste or smell. The employee must frequently lift or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
