What are the responsibilities and job description for the Payroll Specialist position at Duncan Regional Hospital Inc?
The Payroll Specialist is responsible for collecting and importing working hours, calculating wages, preparing and processing payroll records. The Payroll Specialist must be able to investigate and resolve payroll issues and ensure strict compliance with the organizational and regulatory rules and laws. This role also includes responsibilities for maintaining DRH Health’s liability insurance coverage. Duties include annual renewals and claims for Property, Directors and Officers, Automobile, Cyber Liability, Fiduciary and Crime, Professional Liability, GL and EBL, and Loss Information policies. This position also currently serves as a tertiary backup to accounts payable.
RESPONSIBILITIES (ESSENTIAL FUNCTIONS):
- Data processing in payroll, accounting, and related software.
- Compile payroll data, which includes calculating wages, benefits, tax deductions, etc.
- Process and issue employee paychecks and statements of earnings and deductions.
- Troubleshoot and reconcile payroll discrepancies.
- Serve as primary contact for payroll processing issues.
- Communicate with team members, management and others related to payroll.
- Maintain accurate records of payroll documentation and transactions.
- Issue special/manual checks as needed in addition to processing annual W2 statements for all team members.
- Enter manual adjustments and deductions, including those directed by a court into payroll system.
- Renew hospital liability insurance policies with insurance broker on an annual basis with oversite from the Chief Financial Officer and the Insurance Committee.
- File claims with the appropriate insurance company for the type of loss, such as property or automobile.
- Report all claims and outcomes to the Chief Financial Officer.
- Assist in backing up other AP functions such as check processing and invoicing as needed.
- Will have access to confidential company information and as such must be able to keep information confidential.
- Regular attendance and punctuality for scheduled shifts.

- Maintain professional and technical knowledge through continuing education opportunities including internal and external educational offerings; Attend required hospital educational programs.
- Must adhere to safety protocols at all times.
- Per DRH policy, all required conditions of employment must be met and maintained including required vaccinations.

- Performs other related duties as assigned.
Minimum Qualifications: Communication skills including fluency in oral and written English. Basic computer skills including the ability to send/receive email and navigate information technology associated with the position. Previous payroll administration preferred, accounting, timekeeping, and payroll software experience. Experience with Paycom a plus. Experience with payroll deductions, including garnishments. Skill in accurately computing components related to payroll including but not limited to pay, pay rate changes, deductions, time and leave. Active listening, excellent verbal and written communication, critical thinking, integrity, and attention to detail. Ability to adapt procedures, processes, tools, equipment, and techniques to accomplish the requirements of the position.
Education and/or Experience: A minimum of 3 years work-related experience or an equivalent combination of education and related work experience. Bachelor degree preferred.
Certifications, Licenses, Registrations: For positions requiring travel, valid driver’s license and appropriate insurance required.
