Supervisor, Supply Chain Operations

Position Overview

The Supervisor, Supply Chain Operations leads the daily performance of QMG's buying and inventory teams translating the priorities set by the Director of Supply Chain Operations into consistent day-to-day execution. This supervisor ensures purchase orders are processed accurately and on time, inventory levels are maintained at appropriate par levels, and clinics and departments across all sites of care have reliable access to the products they need — balancing supply availability against cost efficiency.

Core Responsibilities

Team Leadership & Daily Operations - Supervise, schedule, and coordinate the daily workload of Buyers and Inventory Management Specialists to keep purchasing and inventory operations running smoothly across all sites.

  • Assign and rebalance daily workload across Buyers and Inventory Management Specialists based on volume, exceptions, and site priorities
  • Monitor purchase order queues, requisition backlogs, and receiving exceptions, intervening directly to keep turnaround times within service-level targets
  • Hire, train, mentor, and evaluate team members; manage performance and support career development

Purchasing & Inventory Oversight - Own the accuracy of purchase orders and the integrity of inventory levels across Duly's clinic and facility network.

  • Review and approve purchase orders confirming appropriate approval workflows are followed
  • Oversee par-level setting and inventory processes to minimize stockouts, expired product, and excess carrying costs
  • Analyze purchasing and inventory data (usage trends, fill rates, days-on-hand) to identify root causes of variances and recommend corrective action
  • Support implementation of new item conversions, GPO contract changes, and formulary updates
  • oversee all of the receiving & delivery duties for main campus, ASC and the rural locations.

Vendor & Issue Resolution - Serve as the first point of escalation for supply chain service issues affecting clinics and departments.

  • Resolve vendor service failures, backorders, pricing discrepancies, and delivery issues
  • Partner with clinics and operations to resolve recurring supply issues and communicate substitutions
  • Escalate unresolved or high-risk issues to the Director of Supply Chain Operations

Reporting & Continuous Improvement - Translate purchasing and inventory performance into insights that support departmental decision-making.

  • Build and maintain recurring reports and dashboards tracking departmental & vendor performance
  • Prepare summaries of team performance, including exception rates, resolution timelines, and cost impact
  • Identify opportunities to streamline buying and inventory workflows

Qualifications

Required

  • Bachelor's degree in Supply Chain Management, Business Administration, Healthcare Administration, or related field; equivalent combination of education and experience considered in lieu of degree
  • Minimum of 4 years of progressive experience in supply chain, purchasing, or inventory management, including at least 1–2 years in a lead or supervisory capacity
  • Healthcare, physician group, or hospital supply chain experience strongly preferred
  • Hands-on experience with ERP/supply chain systems (e.g., Lawson, Infor, Workday, Oracle, or similar) and inventory management or point-of-use technology
  • Working knowledge of GPO contracting, purchase order lifecycle management, and inventory control methodologies (par levels, cycle counting, ABC analysis)
  • Proficiency with Microsoft Excel for data analysis and reporting
  • Strong people-leadership skills, with the ability to coach, motivate, and hold a frontline team accountable to performance and service standards
  • Excellent written and verbal communication skills for interacting with clinical staff, vendors, and department leadership
