Job Description Church Office Administrator
30 Hours Per Week
Responsibilities include:
1. Preparation and Production of weekly bulletin, monthly newsletter, annual conference reports, and church promotional and sign-up materials
2. Management of the Church office and records
3. Assistance with Financial Operations
4. Servings as in-person and telephone receptionist
5. Provide administrative support for church leadership
6. Maintenance of the Church Calendar and organizing use of the building by outside groups
7. Grant writing for the support and expansion of church missions
8. Email Communication with the church body
9. Working with church trustees to order supplies and schedule maintenance and repairs for the building
10. Work with the pastor to distribute support for individuals from the church local relief fund.
The position will work closely with pastor and church staff and leadership as to fulfill these responsibilities.
Management of the Church Office and Records Management of the Church office includes:
1. Procuring, maintaining inventory and overseeing storage of office supplies
2. Maintaining office equipment and arranging for repairs as needed
3. Receipt and distribution of mail
5. Maintaining files and data base
6. Maintaining membership records
7. Overseeing volunteer office workers, including managing the request for volunteers
8. Assisting outside vendors - e.g. HVAC, elevator, etc. – and helping coordinate the scheduling and performance of maintenance and repairs
Assistance with Financial Operations
The Church Administrator assists Treasurer in the following ways:
1. Receiving and distributing bills for verification
2. Mailing and filing checks
3. Recording weekly giving
4. Maintaining petty cash fund
5. Maintaining records of memorial gifts, notification and thank you notes
6. Recording personal giving and creating and distributing yearly giving statements
The Church Office Administrator is often the first person that members and guests come into contact at PCWS. The Church Administrator is expected to greet people warmly, provide assistance answering questions and directing them as needed. The Church Administrator is responsible for passing along messages to the appropriate individuals when needed. Provide administrative support for pastor, church staff and leadership.
The position provides administrative support for the pastor, church staff and leadership, including preparation of meeting minutes. Working with the church staff and committees to develop and maintain the church calendar.
