TITLE: Public Records and Compliance Clerk
JOB STATUS: FLSA Overtime Eligible
REPORTS TO: Director of PK-12 Technology
DEPARTMENT: Instructional Technology
PAY RANGE: Grade 5
POSITION SUMMARY:
This position provides dual support to the Instructional Technology Department, dedicated to managing public records requests in compliance with Ohio law, assisting with student enrollment and record compliance, and providing administrative support to the department. The role requires strong organizational skills, attention to detail, discretion with confidential information, and the ability to manage timelines and communication with both internal staff and the public.
JOB QUALIFICATIONS:
• Associate degree required; Bachelor's degree preferred (Public Administration, Business, Information Management, Paralegal, or related field).
• Minimum of 2-3 years of administrative experience; experience in a public sector or school district preferred.
• Experience with public records requests, compliance, or legal/records management strongly preferred.

ESSENTIAL DUTIES:
Public Records and Records Compliance
• Serve as a primary point of contact for public records requests in accordance with the Ohio Public Records Act.
• Receive, log, track, and process public records requests to ensure timely and compliant responses.
• Coordinate with district departments, including IT, legal counsel, and the Treasurer's Office, to gather records.
• Review records for completeness and assist in identifying confidential or exempt information for redaction.
• Maintain accurate documentation of requests, responses, timelines, and communications.
• Prepare records in appropriate formats (digital or physical) for release.
• Support compliance with district records retention schedules and policies.
• Assist in developing and maintaining procedures for efficient records management and response work flows.
• Provide courteous and professional communication to requestors and stakeholders.
• Maintains respect and security at all times relating to strict confidential matters regarding information to and from legal counsel, Board of Education, employees, evaluations, resumes, letters, checks, and collection of money.
Administrative Support - Instructional Technology
• Provide administrative support to the Director of Instructional Technology and department staff.
• Manage calendars, schedule meetings, and coordinate departmental events or trainings.
• Prepare correspondence, reports, presentations, and meeting materials.
• Maintain department records, files, and documentation systems.
• Assist with purchase orders, vendor coordination, and budget tracking.
• Support onboarding/offboarding processes related to technology access and equipment.
• Respond to internal and external inquiries and route requests appropriately.
• Assist with coordination of district technology initiatives and projects.
OTHER ESSENTIAL DUTIES:
• Keeps current with the ever-changing state/federal rules and regulations and provides current forms and documentation in regard to specialized programs (e.g. special education, limited English proficiency).
• Has thorough knowledge of administrative rules and the ability to make decisions accordingly.
• Working knowledge of the Ohio Public Records Act or ability to quickly learn statutory requirements.
• Strong understanding of records management principles, confidentiality, and data privacy.
• Excellent organizational and time management skills with the ability to manage multiple deadlines.
• High level of attention to detail, especially in document review and redaction.
• Strong written and verbal communication skills.
• Occasional lifting of files or boxes (up to 30 lbs).
• Proficiency in Microsoft Office Suite and Google Workspace; ability to learn district systems.
• Ability to interact professionally with staff, community members, and legal representatives.
• Ability to handle sensitive information with discretion and sound judgment.
• Ensures the safety of students.
• Establishes and maintains cooperative professional relationships.
• Remains free of any alcohol or nonprescription controlled substance and abuse of any prescribed controlled substance in the workplace throughout employment in the district.
• Exhibits professional behavior, emotional stability, and sound judgment.
• Serves as a role model for students in how to conduct themselves as citizens and as responsible and intelligent human beings.
• Understands the legal responsibility to help instill in students the belief in, and practice of, ethical principles and democratic values.
