Title: Bookkeeper / Accounting Specialist
Schedule: Approximately 20 hours per week; in-person between 8 AM- 1 pm Monday - Thursday
Position OverviewWe are seeking an experienced Bookkeeper / Accounting Specialist with expertise in QuickBooks Online (QBO) to manage full-cycle bookkeeping for multiple small-business clients. This role includes basic transaction entry, reconciliations, budget tracking and providing insights that support client decision-making.
The role also would include compiling tax, trust accounting and estate document organization, scanning, workflow tasking & monitoring, in addition to other tasks. The ideal candidate is a QuickBooks power user who can independently manage client books, identify and resolve discrepancies, and contribute to process improvements. This is a key position for someone who thrives on ownership and accuracy.
Core Responsibilities
- Perform full-cycle bookkeeping in QuickBooks Online for a portfolio of small-business clients, including transaction entry, categorization, classification, and journal entries.
- Assist with quarterly and year-end tasks such as form 1099 tracking & W-9 collections, DAF grant request processing, assistance in collecting acknowledgement letters for charitable donations, quarterly estimated income and fiduciary tax payments.
- Collect, organize, and verify client financial documents; communicate professionally to resolve missing information.
- Support the client service and operations team with ad-hoc financial, tax, estate administration support and other tasks.
Qualifications and Skills
- Proficiency in QuickBooks Online required.
- Accounting degree or certificate preferred.
- 3 years of hands-on experience in small-business bookkeeping or accounting, preferably in a multi-client environment.
- Proven ability to manage workflow processes independently with minimal supervision.
- Excellent analytical and problem-solving skills; experience cleaning up messy books or implementing process improvements is a plus.
- High attention to detail, organizational skills, and ability to prioritize across multiple clients.
- Proficient in Microsoft Office Suite (including Excel).
- Professional communication skills for client interactions and team collaboration.
- Self-motivated, reliable, and committed to accuracy and deadlines.
Compensation
Compensation range is $20 - $40 per hour commensurate with experience and qualifications. We offer a supportive team environment, and opportunities for professional development.
