Job Title:                   Administrative Assistant III - Technology   

Wage/Hour Status:  Non-Exempt

Reports to:                Director of Technology                               

Pay Grade:                Clerical/Technical 5

Dept./School:           Technology  

Calendar:                 226 Days

Primary Purpose:

Perform administrative duties related to the daily operation of technology department office and provide clerical services to the director and other staff.

 

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Proficient keyboarding and file maintenance skills

Knowledge of correct English usage, grammar, spelling, and punctuation

Ability to use software to develop spreadsheets, perform data analysis and do word processing documents

Strong knowledge of purchasing and accounting principles

Effective organizational, communication, and interpersonal skills

 

Experience

Three years secretarial experience, preferably in a public education environment
Three years administrative professional or purchasing experience

 

Major Responsibilities and Duties:

Records, Reports and Correspondence

  1. Prepare correspondence, memorandums, forms, requisitions, and reports for technology department.
  2. Compile, maintain, and file all reports, records and other documents as required.
  3. Maintain district software licensing records.

Phones

  1. Answer incoming calls, take reliable messages, and route to appropriate staff; handle questions and requests that fall within level of responsibility.

Accounting

  1. Request quote information and agreement documents from vendors, following policy and regulations.
  2. Prepare, track and receive all district hardware and software purchase orders and payment authorizations in accordance with budgetary limitations and district policies.
  3. Process all district incoming equipment and software to appropriate departments, including knowledge of configuration and license agreements.
  4. Perform routine bookkeeping tasks to maintain department budget records.
  5. Process department supply and equipment purchases.

Other

  1. Welcome all visitors and handle their requests or refer them to appropriate personnel.
  2. Maintain effective rapport with the general public and handle any problems or concerns in a prompt and courteous manner.
  3. Maintain a schedule of appointments for the director of information services.
  4. Receive, sort, and distribute mail and other documents to department staff.
  5. Follow district safety protocols and emergency procedures.
  6. Maintain confidentiality.

Supervisory Responsibilities:

None.

Tools/Equipment Used: Standard office equipment, including computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Motion: Frequent repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: Work is performed in an office setting; may require occasional irregular and/or prolonged hours

Mental Demands: Maintain emotional control under stress; work with frequent interruptions
