Dreyfuss Management LLC is a well-established Property Management firm that is looking for an experienced Residential Services Coordinator for a multi-family apartment community located in Seat Pleasant, MD. You will support the property in a variety of ways including residential correspondents, work orders, leasing, pest control requests, etc. while following all regulatory requirements and company policies and procedures, including all elements of Fair Housing. You will collaborate closely with the entire team to provide exceptional customer service to residents and vendors.
The Residential Services Coordinator is responsible for supporting all aspects of leasing, resident relations, administrative operations, and maintenance coordination within the community. This position serves as a key liaison between prospective residents, current residents, maintenance personnel, vendors, and management to ensure a high level of customer service, operational efficiency, occupancy performance, and resident satisfaction.
The ideal candidate is highly organized, customer-focused, proactive, and capable of managing multiple priorities while maintaining accurate records and exceptional communication.
Essential Responsibilities
Leasing & Marketing
- Lease apartment homes in accordance with company policies and Fair Housing guidelines.
- Conduct property tours and effectively present community amenities and features to prospective residents.
- Respond promptly and professionally to inquiries via phone, email, websites, social media, and other marketing channels.
- Process rental applications, verify required documentation, and conduct credit and background screenings.
- Maintain and manage Yardi Voyager, CRM, RentCafe, and all lead-management systems.
- Review and process all new leasing leads daily and follow up with prospects to maximize occupancy.
- Prepare lease documents, renewal packages, and move-in paperwork.
- Conduct move-in orientations and assist with resident onboarding.
- Maintain waiting lists and perform follow-up communications with prospective residents.
- Conduct monthly market surveys and monitor competitive properties.
- Ensure marketing materials, online advertisements, website content, and social media platforms remain accurate and current.
- Plan, coordinate, and promote resident and community events.
Resident Services & Retention
- Serve as a primary point of contact for resident questions, concerns, and service-related issues.
- Deliver professional, courteous, and responsive customer service.
- Build positive relationships with residents and promote resident retention initiatives.
- Conduct resident satisfaction calls and follow-ups after maintenance requests, move-ins, and significant interactions.
- Proactively communicate with residents regarding service updates, maintenance schedules, and community information.
- Document resident concerns and escalate issues requiring management attention.
- Assist in resolving resident concerns before they escalate.
- Participate in resident engagement activities and retention programs.
Maintenance Coordination & Work Order Management
- Monitor maintenance requests and work orders from initiation through completion.
- Coordinate with the maintenance team regarding open, delayed, or recurring service requests.
- Follow up with residents to confirm satisfactory completion of maintenance work.
- Assist with scheduling resident access for maintenance services when necessary.
- Help ensure work orders are properly documented and closed accurately.
- Identify trends in maintenance issues and communicate concerns to management.
- Maintain inspection forms and documentation.
- Assist with scheduling vacant units for renovation, refurbishment, and occupancy readiness.
- Ensure residents are notified when repairs require ordered parts or extended completion timelines.
Property Operations & Administration
- Maintain accurate resident, leasing, financial, and property records.
- Perform public area inspections, move-in inspections, move-out inspections, and final inspections.
- Collect rents, post payments, and assist with delinquency management.
- Prepare late notices, notices to pay rent, and other resident communications.
- Audit rent rolls, delinquency reports, vacancy reports, and related operational reports.
- Maintain resident files, office files, and electronic records.
- Assist with legal proceedings, eviction scheduling, and attorney communication as directed by management.
- Support purchase order procedures and inventory management.
- Order office supplies within approved budget guidelines.
- Assist with required daily, weekly, and monthly reporting.
- Maintain confidentiality of resident, employee, and company information.
- Perform special projects and other duties as assigned by management.

Qualifications Required
- High school diploma or equivalent.
- Minimum of one (1) year of leasing, property management, customer service, hospitality, or residential housing experience.
- Strong customer service and communication skills.
- Excellent organizational and time-management abilities.
- Ability to manage multiple priorities and follow tasks through to completion.
- Strong attention to detail and accurate recordkeeping.
- Proficiency with Microsoft Office applications.
- Ability to work independently and collaboratively within a team environment.
- Yardi CRM Voyager experience required.
- Must have a valid driver’s license and own personal vehicle.
