Job Overview
We are seeking a proactive and detail-oriented Office Aid / Administrative Assistant with basic accounting skills to join our dynamic team. This role offers an exciting opportunity to support daily office operations, manage administrative tasks, and assist with bookkeeping responsibilities. Responsibilities
- Greet visitors and manage front desk duties with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently
- Maintain accurate filing systems (electronic and paper) and update records
- Provide general administrative support
- Perform basic bookkeeping tasks: data entry, accounts payable/receivable support, reconcile small accounts, prepare invoices
- Support office management activities such as
- Handle customer support and client inquiries via phone or email with excellent phone etiquette
- Communicate clearly and professionally with team members, vendors, and clients
Skills Required
- Minimum 1–2 years office or administrative experience; bookkeeping or accounting assistant experience preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Comfortable with basic accounting concepts and software (QuickBooks, Xero, or Excel)
- Bilingual abilities are a plus for communicating with diverse clients and team members
- Exceptional customer service skills combined with professional phone etiquette and data entry accuracy
- Ability to manage time efficiently, prioritize tasks, and maintain attention to detail in proofreading and filing processes
- Ability to multitask, prioritize, and work independently with minimal supervision
- Positive, professional attitude and reliable work attendance
- High School Diploma, G.E.D. or equivalent
