Position Overview
We are seeking a friendly, reliable, and detail-oriented Part-Time Receptionist to join our fast-paced medspa and wellness clinic. This role is the first point of contact for our patients and plays a vital role in creating a warm, polished experience from the moment clients walk through the door.
Schedule & Hours
Appointment-Based Coverage
- Part-time position
- Hours may vary week to week
- Potential for increased hours as the clinic continues to grow
- Fridays and Saturdays may be required on occasion
- This position is appointment-based, meaning shifts are scheduled only when patients are booked.
Training Schedule (Min. 2 weeks)
- Tuesday–Thursday: 11:30 AM – 3:30 PM
Working Schedule
- Tuesday–Thursday: 2:45pm AM – 7:30 PM
- Monday, Friday & Saturday: As needed
Key Responsibilities
Front Desk & Patient Experience
- Greet patients warmly and professionally upon arrival
- Manage patient check-in and check-out process
- Answer phones, manage voicemails, and respond to inquiries promptly
- Schedule appointments, confirm bookings, and manage same-day changes
- Collect intake forms and consents; ensure documentation is complete
- Process payments and handle POS transactions accurately
- Educate patients on basic pre- and post-care instructions as directed
- Maintain accurate patient records in the EMR system
- Uphold HIPAA compliance and strict patient confidentiality
Clinic Operations Support
- Coordinate patient flow to support providers during clinic hours
- Maintain a clean, organized, and welcoming front desk area
- Assist with light room prep or turnover when needed
- Monitor office supplies and communicate restock needs
- Assist with end-of-day closing tasks
- Communicate no-shows, schedule changes, or issues promptly to leadership
- Support clinic promotions, retail product education, and general inquiries
Qualifications
Required
- Prior front desk or receptionist experience (medical, spa, or wellness preferred)
- Friendly, professional, dependable, and detail-oriented
- Strong communication and multitasking skills
- Comfortable with technology, scheduling software, and EMR systems
- Ability to work flexible, appointment-based shifts
Preferred (Not Required)
- Experience in medical aesthetics, dermatology, or cosmetic services
- Sales or retail experience, especially in skincare or wellness
- Bilingual candidates encouraged to apply
