Key Responsibilities:

Client and Visitor Interaction:
- Greet clients and visitors in a professional, friendly, and welcoming manner.
- Manage visitor access to the office, ensuring security protocols are followed.
- Answer and route incoming calls, taking detailed messages when necessary.

Scheduling & Office Coordination:
- Manage scheduling of the conference room, ensuring availability and seamless transitions between meetings.
- Coordinate office and client gatherings, including ordering food, setting up, and distributing materials.
- Oversee and maintain the presentability of common areas, including the break room, conference room, and other shared spaces.

Mail and Package Management:
- Handle incoming and outgoing packages, ensuring timely and accurate shipping.
- Distribute confidential mail and other correspondence promptly while maintaining confidentiality and security.

Supply Management:
- Order and maintain office supplies, keeping track of inventory levels and ensuring the office is well-stocked at all times.
- Handle office equipment maintenance requests and ensure they are resolved promptly.
- General Office Management:
- Ensure the office remains clean, organized, and professional in appearance.
- Assist with administrative tasks as required, including organizing office events or team-building activities.
- Take initiative to identify areas for office improvement and address potential challenges proactively.
Qualifications:
- Proven experience as an Office Manager, Administrative Assistant, or similar role.
- Exceptional attention to detail and organizational skills.
- Strong communication skills, both verbal and written, with the ability to interact confidently with all levels of employees and clients.
- Ability to manage multiple tasks with a proactive approach.
- Strong problem-solving skills and the ability to maintain professionalism under pressure.
- Comfortable managing confidential information with discretion.
- Ability to work independently and as part of a team.
- Experience with office software (Microsoft Office, Google Suite, etc.) is preferred.
