The Executive Assistant provides administrative, operational, and logistical support to Dream Team United ownership. This role oversees property and building management, light bookkeeping coordination, inventory and vendor oversight, travel logistics, and general administrative support across multiple entities. The position requires strong organization, discretion, and the ability to manage multiple priorities independently.
Responsibilities
Key Responsibilities
Property & Building Management
- Manage tenants for DTU-owned properties, including leases, rent collection, and maintenance
- Oversee RV, boat, and storage properties
- Coordinate maintenance for DTU offices, including Carolina Place and GSP locations
- Manage vendors and contractors; create timelines and ensure follow-up and complianc
- Oversee office supplies and inventory for DTU locations (Carolina Place, GSP, Wilmington, Triangle, Triad)
- Ensure all building-related bills and invoices are paid on time; set up autopay when possible
- Schedule flights, hotels, transportation, and restaurant reservations during CEO travel
- Maintain team lead’s schedule
- Assist with raffle assembly and client event setup
- Support marketing initiatives as needed (mailings, item pickup, event preparation).
- Submit monthly invoices and receipts through bookkeeping systems
- Reconcile expenses and prepare expense reports
- Collect and organize financial and tax documentation for CPAs, financial advisors, and the IRS
- Pay invoices and property tax bills for all related entities.
- Handle daily requests and ad hoc tasks as needed
- Check mail daily at the Market Center and FM location
- Provide light administrative support to operations
