What are the responsibilities and job description for the Optical Patient Coordinator & Eyewear Consultant position at Dr. Sellers Optical?
Position Summary
The Optical Patient Coordinator and Eyewear Consultant role is a dynamic, style-focused position essential to both our optical sales and the patient experience. Working directly under the supervision of a Licensed Optometrist, your primary focus will be providing an engaging, personalized styling experience, helping patients choose, custom-fit, and order eyewear and contacts that match their personal style, budget, and lifestyle needs. As a dual-role professional, you will also bridge the gap between retail excellence and clinical care by welcoming patients, managing schedules, and coordinating a seamless visit from the front desk to the dispensing chair. This position is a fantastic entry-level opportunity for an outgoing individual who loves customer service and helping people look and see their best.
Job Duties & Responsibilities
Optical Consulting & Patient Styling:
- Frame Selection & Design Styling: Serve as our resident style expert, helping patients navigate premium frame selections and advanced lens options (such as anti-reflective coatings, blue-light filters, or progressives) based on their face shape, bridge fit, unique prescriptions, and lifestyle.
- Optical Measurements: Take precise facial and eye measurements, such as pupillary distance (PD) using a pupilometer, and accurately mark lines of sight for bifocal and progressive placement under doctor supervision.
- Fitting, Alignments & Adjustments: Use optical hand tools, frame warmers, manual adjustments to custom-fit, realign, and comfort-adjust finished eyeglasses to the patient's face for a perfect, weightless fit.
- Inspection & Order Dispensing: Conduct final quality control checks on finished glasses and pre-packaged contact lenses against the doctor's written prescription before personally dispensing them to the patient.
- Order Processing & Tele-Sales: Key precise patient prescriptions and optical sales orders into our computer/EHR systems, and place custom vendor orders via software or phone.
Patient Coordination & Care Flow:
- Patient & Physician Communication: Provide a professional, high-end first impression for our practice. Greet patients warmly, answer and route telephone calls, respond to emails, and ensure communication is always clear and welcoming.
- Appointment Scheduling: Coordinate patient appointments efficiently to keep the daily schedule flowing smoothly, while obtaining and verifying necessary demographic and clinical notes.
- Insurance Verification: Verify optical and medical insurance eligibility, clarify vision benefits, and educate patients on their coverage, patient responsibilities, and out-of-pocket estimates prior to styling.
- Point-of-Service Collections: Securely process sales transactions for custom eyewear, collect copays, deductibles, or deposits, and coordinate returns or warranty claims in line with office policy.
- Teamwork & Cross-Training: Collaborate closely with the clinical team, cross-training across front-of-house functions to ensure an organized, cohesive, and premium patient environment.
- Professional Standards: Maintain patient confidentiality and strict HIPAA compliance, representing our practice with absolute professionalism, kindness, and respect.
Inventory & Styling Lounge Upkeep:
- Visual Merchandising: Maintain the layout of frame boards, restock premium merchandise, curate luxury displays, and ensure styling stations are completely sanitized daily.
Qualifications & Requirements
- Education: High school diploma or GED certificate (Required).
- Experience: Prior experience in retail sales, fashion/styling, luxury guest services, or a medical/eyecare office is highly preferred, but we are fully prepared to train the right individual.
- Skills: Strong communication and interpersonal skills, a warm and empathetic personality, a keen eye for style/detail, basic computer literacy, and basic math skills for processing optical measurements and transactions.
