Front Office Coordinator
Overview
Dr Richard Zienowicz’s office is seeking a Front Office Coordinator for the dates October 2026 – February 2027. Duties will include but are not limited to heavy patient contact via phone, email, and in person. This position involves but is not limited to greeting patients, EHR system preparation, product sales, along with various other admin-related duties. This is a core position within our office as the person will be the face of the practice. Working hours are 8:30 AM – 5:00 PM Monday through Thursday and 8:30 AM – 3:00 PM on Friday.
Description
- Welcome patients and visitors by greeting them in person or on the telephone
- Schedule and confirm all patient appointments, make phone calls confirming new cosmetic consultation
- Answer calls efficiently and take informative messages
- Comfort patients by anticipating their needs and anxieties
- Optimize patient satisfaction, provider time and treatment room utilization by scheduling appointments patients in person or by phone in the appropriate manner
- Keep patient appointments on schedule, utilizing EMR software and communicating with team
- Maintain and protect confidentiality of patient accounts by obtaining, recording and updating personal and financial information
- Manage incoming faxes
- Process medical record requests and scanning of patients information timely
- Maintain operations by following policies and procedures
- Contribute to team efforts by accomplishing related results/goals as needed
- Weekly compilation of operative notes
- Daily Alle, Aspire, Cherry program maintenance, daily for each patient
- Maintain general office and front desk reception neatness
- Check patients in/out for all providers and handle in-office procedure scheduling
- Escort patients to appropriate exam rooms, i.e. consults, pre and post-ops, follow ups and injectables
- Ensure exam rooms are cleaned and stocked
- Keep track of deliveries, gowns, etc.
Requirements
- Exceptional communication and phone skills
- Must be able to work independently and multi-task
- Possess outstanding concierge-service skills
- Ability to work in a verry busy/fast paced practice with attention to detail
- Open to communicating regularly on best practices and opportunities to process improve
- Prior medical office experience preferred

Pay: $20.00 - $23.00 per hour
Expected hours: 40.0 per week
