POSITION SUMMARY
The Donor Relations Associate assists the Donor Concierge in providing exceptional customer service to the Dr. Phillips Center donors (individuals and corporate entities). The position serves as a point of contact for donor services, stewardship and fulfillment such as: ticketing requests, Donors’ Room access, special event communications, surprise and delight initiatives, and special stakeholder requests. The Donor Relations Associate partners with the Donors’ Room team and works collaboratively with the Dr. Phillips Center colleagues to advance its mission and goals while demonstrating the core values.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
- Provide accurate and timely follow up to Donors. Answer questions, fulfill requests and administer Donor Privileges as required. Maintain accurate records of all communication utilizing Tessitura (CRM).
- Provides fulfillment for founding donor privileges, strategic donor relations and recognition support alongside the Donor Concierge to cultivate meaningful, lifelong relationships with the donor base.
- Collaborate with Donor Concierge, Box Office and Executive Office on ticket sales efforts for Donors and Prospects.
- Assist with Donors’ Room activities including: coordinating Donors’ Room reservations per performance; scheduling and maintaining the performance calendar for the Donors’ Room; assisting with training and scheduling Donors’ Room Host(s); ensuring Donors’ Room is being maintained properly; coordinating Food & Beverage needs and orders through food & beverage team; reporting RSVP counts and other relevant information organization wide.
- Collaborate and provide administrative support to the Donor Concierge with tracking and reporting donor fulfillment and stewardship efforts: ticket and valet requests as well as Donors’ Room activities pre and post-show.
- Partner with Donor Concierge and Gift Officers for customer service initiatives for existing Donors and for Donor Prospect assignments.
- Coordinate special event communication with Donors and staff (i.e. Donor Appreciation, Donor Cultivation Events, Opening Events, Premium Event Experiences, etc.).
- Assist with Donors’ Room host shifts as needed.
- Provide a positive impression for Donors and Prospects with phone calls, written communication and in-person meetings.
- Maintain confidentiality and discretion of Donor information.
- Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding, supporting and demonstrating the core values.
- Maintain a professional and friendly relationship with other departments, colleagues, and partners.
- Able to remain calm under pressure. Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
- Able to effectively communicate in English in both written and oral forms.
- Other duties as assigned.
KNOWLEDGE AND EXPERIENCE
- Bachelor’s Degree or equivalent experience plus a minimum of one year (direct or equivalent) experience managing donor relationships with demonstrated success in stewardship.
- Prior experience in a not-for-profit, fundraising or philanthropy department preferred.
- Excellent organizational skills. Strong communication skills, both verbal and written. Strong creativity and problem-solving skills. Highly motivated self-starter with a positive attitude. Ability to multi-task and to work in an extremely fast paced environment. Must be detail and solution oriented.
- High level proficiency with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams, etc.) and fundraising database / CRM software a plus.
- Must be able to perform moderately complex mathematical calculations. Previous credit card handling experience is preferred.
SPECIAL CONDITIONS OF EMPLOYMENT
- This position requires the ability to work a variable schedule, evenings, weekends, and holidays to meet operational needs.
- Professional attire is required when working in the Donors’ Room and attending special Donor events.
