Role Summary
This hybrid role anchors the patient journey at Dr. Addison Aesthetics, serving as the practice’s first impression, experience curator, and treatment-plan coordinator. The ideal candidate provides white-glove service, thrives in a fast-paced medical office, and supports a luxury, technology-driven aesthetic practice. Mandarin speaking is highly preferred.
Key Responsibilities
Front Desk & Guest Experience
- Welcome patients with a polished, hospitality-forward demeanor
- Manage check-in/check-out, scheduling, and payment processing
- Maintain a refined, brand-aligned reception environment
- Support intake documentation and accurate EMR charting
Patient Care Coordination
- Educate patients on services, pricing, memberships, and post-care
- Support consultation conversions and treatment-plan development
- Manage follow-ups, lead nurturing, and reactivation campaigns
- Coordinate before/after photography and file management
Operational & Administrative Support
- Manage phone, email, and text communication professionally
- Support retail sales, inventory checks, and restocking
- Ensure smooth day-to-day clinic flow with clinical staff
- Assist marketing with light content tasks (e.g., capturing patient journey moments)
Qualifications
- 1–3 years in a medical office, medspa, dermatology, or plastic surgery practice
- Demonstrated excellence in customer service
- A Team Player
- Strong communication skills; Mandarin speaking preferred
- Professional appearance, attention to detail, and strong multitasking capability
- Comfortable with EMR/CRM systems, scheduling platforms, and digital communication tools
