Core Responsibilities
- Client Hospitality: Welcome clients and patients warmly upon arrival and assist them with check-in and check-out procedures using veterinary software systems, and maintain a clean, inviting lobby.
- Appointments: Schedule appointments, follow-up visits, and manage clinic calendars to optimize workflow.
- Communication Management: Answer multi-line phones, respond to emails, and manage appointment requests in veterinary software.
- Veterinary Triaging: Identify and assess urgent veterinary inquiries on the phone or in-person, routing emergencies to clinical team immediately.
- Financial Administration: Process payments accurately, discuss invoices, manage financial assistance transactions (CareCredit/Cherry/Scratchpay), and review financial policies with clients.
- Pharmacy & Records : Coordinate prescription refills with technicians and maintain detailed and up-to-date digital veterinary charts; including animal history, treatment plans, and laboratory results.
- Communication Management: Communicate effectively with clients regarding pet care instructions, upcoming procedures, and post-visit care.
- Independent Teamwork: Assist coworkers by occasionally helping with light clinic upkeep or comforting a pet in the lobby.
Required Qualifications
- High school diploma or equivalent
- Prior experience working in a veterinary clinic or animal care setting is highly preferred.
- Strong customer service skills with the ability to communicate clearly and professionally with clients from diverse backgrounds.
- Knowledge of veterinary terminology, medical-surgical procedures, and companion animal medicine is essential.
- Experience with veterinary software systems such as Vetspire Or DaySmart is advantageous.
- Familiarity with laboratory procedures, medical collection techniques, and aseptic protocols.
- Ability to handle dogs safely using proper restraint techniques; experience with dog training or dog handling is a plus.
- Basic proficiency in Microsoft Office applications for record keeping and communication purposes.
- Knowledge of animal anatomy, animal husbandry practices, and pet care standards.
- Understanding of drug regulations (DEA) and USDA compliance requirements related to veterinary practice.
- Ability to perform animal restraint skillfully while maintaining safety for animals and staff alike. Willingness to learn Fear Free techniques.
- Willingness to learn new skills such as equine experience or advanced laboratory techniques if applicable.
