A legal document specialist is an individual employed by a law firm to assist an attorney with document production and preparation. Their primary duties are to examine and proofread documents to ensure that all necessary specifications are met and ensure that it is fit for filing with the court or send to a client. The other responsibilities are to handle the processing of information related to the document and ensure that all required information is included. The role of a legal document specialist varies from different firms. Qualifications to be a legal document specialist typically include completion of a paralegal program or an associate’s or bachelor’s degree in legal studies. Knowledge of Real Estate a plus.
Job Responsibilities
- The Legal Document Specialist is responsible for the paper filing system and the electronic filing system. The legal forms should be organized in a fashion that can be easily accessed by others.
- Document Specialists manage the back-up system to organize data storage for the firm.
- A Legal Document Specialist provides administrative support to the law firm. This means receiving all phone calls and forwarding calls to the proper attorney, managing mail delivery, arrange travel, and schedule meetings for attorneys.
- The Legal Document Specialist enters the documents and proof reads everything before it leaves the office. This includes any printed documents from memos to graphs.
- The Legal Document Specialist needs to have a high degree of accuracy in data entry and must use discretion with confidential matters.
- The Legal Document Specialist communicates with attorneys and vendors to bill and invoice clients in many law firms.
- The Legal Document Specialist must have good problem solving skills and ability to complete work in a timely manner.
