Overview
We are seeking a Legal Assistant/Secretary/Receptionist to join our family law practice, which focuses on divorces, paternity cases, and related matters. Our firm is just starting out, and so we're looking for someone to grow with our practice.
Training will be provided.
This vital role offers an exciting opportunity to support legal professionals by working directly with clients and lawyers, managing administrative tasks, coordinating schedules, and ensuring smooth office operations.

We anticipate that after training is complete and a period of demonstrated competence in the role, this position may, at some point in the future, transition into a hybrid remote/in-person position.
Duties
- Manage and maintain attorney calendars, schedule meetings, court dates, and appointments with precision and efficiency
- Prepare, review, and proofread legal documents, correspondence, and reports to ensure accuracy and professionalism
- Handle incoming calls using computerized VOIP phone system with excellent phone etiquette, directing inquiries appropriately
- Organize and file legal documents both physically and electronically, using the State's filing system and Clio practice management software
- Assist with data entry tasks such as updating client records, case files, and billing information using productivity software
- Support client interactions by providing exceptional customer service at the front desk or via phone support, ensuring a positive experience
- Perform clerical duties including photocopying, scanning, faxing, and managing office supplies to maintain an organized workspace
Skills
- Basic Windows 11 computer literacy, with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Dropbox, and Google Workspace tools
- Familiarity with on-line banking and similar services, and how to download records
- Familiarity with PDF files, including scanning and redacting them
- Asking for help or clarification when needed
- Excellent organizational skills, with the ability to prioritize tasks effectively in a busy environment
- Ability to manage calendar schedules efficiently and handle multiple responsibilities simultaneously
- Typing speed combined with meticulous proofreading skills to produce error-free documents
- Particularity with data entry, filing systems, and technical proficiency in productivity software to ensure smooth daily operations
- Excellent customer service skills paired with professional phone etiquette to foster positive client relationships - be friendly and understanding, even when clients are not
- Experience in clerical work or administrative support within a professional setting is a positive, but not required
- Bilingual abilities are highly desirable to assist diverse client needs and enhance communication, but are not required
