Schedule:
- Full-time, 40 hours per week (on-site)
- Monday thru Friday | 8am to 5pm (some exceptions apply)

Responsibilities:
- Space Maintenance: As the Community Coordinator, it’s your responsibility to maintain a pristine coworking community by keeping the kitchens, restrooms, meeting rooms and common areas stocked, clean and in order at all times as well as submit maintenance requests for repairs that need to be made throughout the space. (Includes: meeting room turnover, loading/unloading the dishwasher, cleaning the coffee machine, cleaning the beer tray, taking care of any spills that happen, weekly fridge clean out, wiping scuff marks off the walls when necessary, etc.
- Sales: Support Community Manager by conducting tours in their absence, communicating pertinent details, and keeping all platforms up to date with important and accurate information.
- Member Engagement: Develop and implement strategies to enhance member engagement, satisfaction, and overall experience. Organize and facilitate regular community events, workshops, and networking opportunities to foster connections and collaboration among members.
- Community Building: Act as a catalyst for community building by proactively identifying opportunities for collaboration, knowledge sharing, and cross-pollination among members. Encourage participation in community initiatives and facilitate connections between members with complementary interests.
- Mail Management: Process incoming and outgoing mail, including collecting, sorting, scanning, forwarding, and distributing to the appropriate recipients.
- Event Coordination: Collaborate with the Community Manager to plan and execute networking events, workshops, and seminars. Assist in logistics, including vendor coordination, and event promotion.
- Social Media, Marketing, and Online Presence: Contribute to maintaining a strong online presence for the community by actively engaging with members and local businesses on social media platforms. Share fun and engaging content, community updates, announcements, promotions, success stories etc. via social media and email to showcase the value of our community.
- Inventory restock: Take inventory and restock supplies in the kitchens, bathrooms, and mini market, ensuring they are well-stocked at all times.
- Coffee Management: Maintain cleanliness and functionality of the coffee machine, including regular cleaning and restocking coffee supplies.
- Meeting Room Management: Reset meeting rooms after use, ensuring they are clean, organized, and equipped with the necessary supplies and technology.
- Front Desk Duties: Perform basic front desk duties such as greeting visitors, checking them in, answering phone calls, and operating the doorbell system.
- Customer Service: Provide excellent customer service by assisting visitors with inquiries and directing them to the appropriate resources or personnel.
- Office Admin: Assist with general office tasks as needed, including filing, data entry, and organizing documents.
- Member Support: Troubleshoot and resolve member technology issues, new member orientations, move-in/move-out functions and checklists, communicate facility or member issues to the Community Manager.
Day-to-Day Activities:
- Managing inventory and restocking office, kitchen, bathroom, and mini-market supplies
- Mail and package handling, distribution, and forwarding
- Maintain a pristine coworking community (kitchens, bathrooms, meeting rooms, common areas, etc.)
- Capturing and entering daily billable items (day passes, etc.)
- Conducting sales/walk-in tours when Community Manager is unavailable and input required information into Hubspot
- Creates a warm and welcoming vibe through excellent customer service
- Greet guests and members upon arrival
- Oversee and execute daily front desk operations
- Answering and routing phone calls as needed
- Creating contracts and invoices collecting payment when Community Manager is unavailable
- Performing member orientations
- Teaming up with the Community Manager to plan, promote, cover, and breakdown community events and meetings.
- Working alongside the Community Manager to develop connections between members
- Communicating all maintenance and member issues to the Community Manager and submitting maintenance requests for repairs from members and the overall workspace
- Social media posts and marketing support
- Input and maintain accurate data across software platforms
- Perform member move-in/move out functions and checklists
- Troubleshoot and resolve member technology issues with professionalism and patience
- Manage event and meeting room reservations and meeting room turnover
- Manage website chat inquiries
- Management of local vendors
What’s Required:
- Four-year college degree (preferred, not required)
- 2-4 years of work experience in marketing, sales, hospitality, customer service, or business operations
- Strong verbal and communication skills
- Self-starter who can work independently
- General understanding of CRM systems (HubSpot, etc.) and lead cycles
- Proficiency in Google Suite (Docs, Sheets, etc.)
- Exceptional organizational and multitasking skills
- Experience learning new software programs and a high comfort level around new technology
- Experience with social media platforms and content creation/distribution (Canva, Loomly, etc.)
- Ability to intuitively connect with people; warm and approachable
- Collaborative and reliable team player
- Passion for surprising and delighting customers
- Professional demeanor and prior leadership experience a plus
