Duties
- Greet visitors and clients warmly, ensuring a professional and friendly first impression
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office
- Perform data entry, update records, and assist with bookkeeping using QuickBooks or similar software
- Schedule appointments, manage calendars, and coordinate meetings for staff or executives
- Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general administrative functions
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Proofread documents for accuracy and clarity before distribution
- Assist with clerical duties such as photocopying, scanning, and organizing files
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Familiarity with multi-line phone systems and phone etiquette standards
- Experience with QuickBooks or bookkeeping is a plus
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Exceptional customer service skills with a friendly demeanor and professional attitude
