Dover-Sherborn Middle School is seeking a ten month School Guidance Administrative Assistant to begin August 18, 2026. To provide support to the Middle School Guidance Department and the Director of Guidance. This is a school year position.
Minimum Qualifications:
-High School Diploma or Equivalent
-Associate Degree preferred
-Previous secretarial/administrative assistance experience, preferably in an educational setting
-Excellent communication and interpersonal skills
-Strong organizational skills, attention to detail and deadlines
-Ability to manage a fast paced office environment
-Strong computer skills and demonstrated knowledge of Microsoft Office, Google Platform, SIMS
-Typing (minimum of 50 wpm)
-Ability to work cooperatively with all constituencies within the school community (students, parents, co-workers, faculty and administration)
-Enjoys working with middle school aged children
Essential Responsibilities include:
-Provide overall secretarial support to the counseling staff
-First line of communication and information for Guidance Office
-Provide back up support to the Main Office as needed
-Manage the clerical paperwork and data entry for all new student registrations, requiring additional summer hours (approx. 1 x week)
-Works closely with members of the technology department to manage the SIMS reporting data
-Performs office duties in order to maintain accurate school records, including MCAS and other standardized testing results.
-Updates, edits and manages all guidance publications, website and materials
-Performs daily routine administrative duties: answering incoming calls/emails, sorting and distributing mail, date stamping
departmental mail, preparing correspondence as requested
-Responsible to maintain common areas of office, updates the office bulletin boards and visual office materials
-Maintains all office supplies and materials
-Manages counselors’ appointment calendars and Guidance Conference Room calendar
-Completes and distributes counselor appointment slips and organizes group meetings and guidance field trips as requested
-Prepares monthly enrollment statistics for the Administration
-Provides clerical support for departmental projects such as curriculum lessons private school applications, course selection and high school transition
-Maintains confidentiality of all records and information that occurs within the Guidance Office and school
-Other duties assigned by the Director of Guidance
Hourly Rate: $23.00-$24.00
