The Opportunity (Job Goal & Impact)
The District Special Education Administrative Assistant works closely with the Director of Student Services to manage the day-to-day operations of the District’s Student Services Department, including transportation, financial responsibilities (local budget, federal grant, Medicaid to Schools, Special Education Aid), state and federal reporting, and special education compliance. This position supports the district special education staff in various ways, including assisting with scheduling, special education file maintenance and managing data in NHSEIS (NH Special Education Information System).
•Provide high-impact administrative support to the District’s Special Education/Student Services team to ensure timely, compliant services for students.
•Collaborate with educators and service providers using SMART goals and quarterly check-ins to drive continuous improvement in processes and communication.
Key Responsibilities
•Support the Director of Student Services/Special Education and program coordinators with day-to-day operations and communications.
•Track and manage IDEA/Section 504 timelines (IEP annual reviews, evaluations, re-evaluations); maintain shared calendars and compliance ticklers.
•Prepare, distribute, collect, and archive special education documentation (meeting notices, consent forms, IEPs, progress reports) in accordance with IDEA and FERPA.
•Maintain accurate data and reports in NHSEIS and the student information system; assist with state and federal reporting requirements.
•Coordinate meetings and evaluations (scheduling team members, interpreters, related service providers; reserving rooms; arranging substitutes as needed).
•Serve as a professional, responsive point of contact for families, staff, and outside agencies; route inquiries and follow-ups appropriately.
•Support billing/reimbursement workflows (e.g., Medicaid to Schools) and vendor onboarding/PO paperwork as assigned.
