Position Description
Accounting Assistant - DMPM
Under the direct supervision of the Finance Director, the incumbent is responsible for providing accounting duties for Douglas Multi-Family Property Management Corporation (DMPM). This position is a full-time position of 40 hours a week.
JOB SUMMARY: Provides accounting assistance specific for Multi-Family Development Properties including but not limited to Rural Development/HUD and Low Income Housing Tax Credit Programs.
Essential Functions: The following represents the major essential and secondary duties of the position; however, they are not intended to be all-inclusive. DMPM reserves the right to change, reassign, or combine job duties at any time.
- This position provides support for the Accounting Department.
- Responsible for the Accounts Payable System. Basic knowledge of the general ledger chart of accounts with thorough knowledge in areas of job duties and responsibility. Responsible for weekly check runs to ensure timely payment to vendors and vendor file maintenance. Responsible for vendor 1099 processing and printing.
- Responsible for Accounts Receivable, maintains A/R records, posting rent and subsidy payments, recording repayment agreements and handling collections.
- Maintains checkbook/check register with deposits and check runs.
- Processes all inter-program reimbursements and maintains all file information. Reconcile inter-programs due to/due froms.
- Reconciliations: A/R; A/P; bank accounts (bank reconciliations); Inter-program due to/due froms.
- Prepares A/R and other various journal vouchers and various spreadsheets.
- Month end balancing and opening new month (tenant ledgers); issue tenant utility allowance payments.
- Audit tenant ledgers; reconcile various general ledger accounts.
- Take bank deposits to branch as needed.
- Records and maintains inventory records.
Additional Functions/Knowledge of:
1. Assist with audit preparation (compiling required documents).
2. Become familiar with and utilize chart of accounts; knowledge of correct ending balance per category to assist in making adjusting journal entries.
Physical Requirements: The position requires the ability to sit and/or stand for several hours, work on a computer with repetitive use of hands, wrists and fingers for extensive typing, read and hear for periods of time, light lifting may be required.
Working Conditions: The incumbent will work in an office.
Supervision Received: The incumbent receives direct supervision from the Finance Director.
Supervision Exercised: This individual has no direct supervisory responsibility.
Administrative Responsibilities: The incumbent demonstrates efficient office procedures and skills.
Other Information: Travel may be required.
Knowledge of: Considerable knowledge of accounting principles, practices, and techniques; considerable knowledge of automated accounting systems; reasonable knowledge of modern office practices and procedures.
Skill in: Use of modern office equipment that includes automated equipment and systems.
Ability to: Communicate effectively in both oral and written forms; share knowledge relating to accounting systems and procedures; work independently or within team unit; efficiently organize time to meet deadlines; use judgment and maintain confidentiality in dealing with employees and the public; courteously meet and deal effectively with employees, outside agencies and the public. Incumbent must have ability to effectively utilize various computer software programs including HABINC, Excel and Microsoft Word.
QUALIFICATIONS
Minimum Qualifications:
The individual must possess the following knowledge, skills and abilities.
- Associate degree in accounting and two years of related work experience OR five years accounting and related experience OR a satisfactory equivalent combination of experience and training.
Secondary Qualifications:
Although not required, the following qualifications will enhance an individual's chance for success in the job.
- Actual Multi-Family Development experience.
- Valid Oregon State Motor Vehicle Operator’s License and proof of a clear driving record from the Oregon Motor Vehicles Division.
- Able to read and comprehend State and Federal Regulations.

Pay: $19.50 - $22.00 per hour
