Job Summary: Definition of the Patient Coordinator
Our Patient Coordinator is the primary front-desk professional responsible for managing the patient experience from the moment a patient enters the office until the time they leave. This role ensures smooth patient flow, handles communication and scheduling, supports basic insurance and administrative tasks, and serves as the central connection between patients, doctors, technicians, and the optical team.
The Patient Coordinator combines customer service, organization, communication, and problem-solving to create an efficient, welcoming, and professional environment for both patients and staff.

Douglas Family Eyecare needs a warm, organized, proactive, and team-oriented individual who can be the heartbeat of patient flow and the first impression of the practice. This person must be able to balance friendliness, professionalism, and efficiency while supporting doctors, technicians, and opticians throughout the day.
Role Summary:
The Patient Coordinator serves as the primary representative for the practice. This role is crucial in creating a positive and efficient patient flow and ensuring a seamless experience from check-in to check-out. The ideal candidate is highly personable, organized, and possesses a proactive approach to supporting the entire DFE team.
Key Responsibilities
- Patient Experience: Provide an exceptional, welcoming, and professional first impression for all patients and visitors.
- Patient Flow Management: Actively manage and direct the flow of patients between the waiting area, patients awaiting an exam, and the optical department to ensure an organized and efficient office environment.
- Office Insurance Support: Assist with insurance responsibilities in the office.
- Operational Support: Demonstrate a willingness to learn new tasks and provide organizational or assistance to the optical area to help manage workflow during optical overflow times.
- Proactive Workflow: Apply problem-solving skills to manage office tasks and improve administrative efficiency.
Qualifications:
Required:
- Experience: Minimum of one (1) year of professional experience as a receptionist, ideally in a medical or dental office environment.
- Skills:
- Exceptional people skills with a genuine desire to serve patients.
- Proficiency in computer skills and office software.
- Demonstrates strong problem-solving abilities.
- A high degree of willingness and aptitude for learning new tasks and responsibilities.
- Familiarity with basic health insurance concepts and verification processes.
- Availability: Must be willing to assist with optical overflow during peak times or as needed.
Preferred:
- Associate Degree at minimum but not required.
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
Expected hours: 35 per week
