Position Summary
Douglas Express Delivery is seeking an experienced, organized, and proactive Safety & Compliance Specialist to support the daily execution of the company's safety, compliance, driver accountability, and training programs.
This position serves as the day-to-day representative of the Safety Department by enforcing company safety policies, coaching drivers, monitoring driver performance, maintaining DOT and OSHA compliance, and supporting continuous operational improvement.
Working directly under the Operations Risk Manager, the Safety & Compliance Specialist will help build a culture of safety, accountability, professionalism, and regulatory compliance across the organization.
This position is primarily based in our Jackson, Mississippi office. Occasional travel to company terminals may be required to assist with investigations, audits, training, or operational support.
Responsibilities
Safety Leadership & Policy Enforcement
- Enforce company safety policies, procedures, and Standard Operating Procedures (SOPs).
- Ensure consistent day-to-day enforcement of company policies and safety expectations.
- Conduct follow-up on policy violations and verify corrective actions are completed.
- Coach employees on company policies, safe work practices, and regulatory requirements.
- Support terminal managers in maintaining consistent policy enforcement.
- Identify unsafe behaviors and proactively address them before they result in incidents.
- Assist with continuous improvement of the company's safety program.
Driver Coaching & Performance Management
- Review daily Samsara safety events and driver performance.
- Conduct one-on-one driver coaching sessions.
- Coach drivers on speeding, seat belt usage, distracted driving, following distance, harsh driving events, defensive driving, and company expectations.
- Maintain accurate coaching documentation.
- Track repeat violations and recommend corrective actions.
- Reinforce positive driving habits through ongoing coaching and recognition.
Samsara Administration
- Monitor AI Safety Events and driver safety scores.
- Review camera health and telematics alerts.
- Identify high-risk driver trends.
- Prepare weekly and monthly driver performance reports.
- Assist with accident reviews and root cause analysis.
Compliance Administration
- Maintain Driver Qualification Files (DQFs).
- Track CDL licenses, medical certificates, MVRs, permits, and required regulatory documentation.
- Maintain DOT, FMCSA, OSHA, and company compliance records.
- Prepare documentation for internal audits, insurance reviews, and regulatory inspections.
- Ensure all compliance records remain organized and audit-ready.
Training & Employee Development
- Coordinate new hire orientation.
- Schedule and coordinate recurring safety training and monthly safety meetings.
- Maintain training records, certifications, and policy acknowledgments.
- Assist in developing training materials, presentations, and Standard Operating Procedures (SOPs).
- Support driver performance improvement initiatives.
Administrative Support
- Prepare executive dashboards, KPI reports, safety scorecards, and trend reports.
- Maintain accident files, incident reports, claims documentation, and compliance records.
- Manage document control and filing systems.
- Support safety, compliance, risk management, and operational improvement projects.
- Perform other duties as assigned by the Operations Risk Manager, Director of Operations, or Executive Leadership.
Required Qualifications
- Valid Class A Commercial Driver's License (CDL) required.
- Minimum three (3) years of verifiable Class A commercial driving experience.
- Clean driving record that meets company and insurance requirements.
- Must successfully pass the company's background screening, drug screening, and all required pre-employment screenings.
- Strong knowledge of DOT, FMCSA, and commercial transportation regulations.
- Excellent communication, coaching, and interpersonal skills.
- Strong organizational and documentation abilities.
- Proficient in Microsoft Office (Excel, Outlook, and Word).
- Ability to manage multiple priorities in a fast-paced transportation environment.
Preferred Qualifications
- Experience using Samsara or another fleet telematics platform.
- Experience conducting driver coaching and performance management.
- Experience maintaining Driver Qualification Files (DQFs).
- Experience preparing for DOT, OSHA, insurance, or compliance audits.
- Transportation, fleet, logistics, or safety management experience.
- OSHA 10, OSHA 30, or other safety certifications are a plus.
