Purpose: Reporting to the Special Events Supervisor, the Seasonal Special Events Aide works closely with the Special Events Team to support the setup and execution of Douglas County Libraries (DCL) events and represent the library at community outreach activities. This customer service role helps deliver high-quality experiences for attendees at key seasonal events, with a focus on summer and winter programming.

Required
Physical Requirements: Must have a reliable method of transportation between all DCL locations. Must have the physical ability, stamina, mobility and manual dexterity to support a 7-day a week operation. Work at computer stations for extended periods. Access and transport materials up to 40 pounds. Participate in meetings and events at various locations and at varied times throughout the day. Ability to read as small as 8pt font.

Essential Duties And Responsibilities
Event Coordination (60%)
- Coordinates and executes special and community events from setup through cleanup, ensuring seamless delivery and a premium experience for all attendees.
- Serves as an ambassador for DCL, using outgoing presentation skills and positive communication to engage the public and represent the library’s core values.
- Manages event registration, logistics, and on-site support, maximizing visibility and attendance at both on- and off-site events.
- Builds strong relationships with vendors, staff, and volunteers to ensure smooth event operations and collaborative success.
- Engages positively with community leaders and members at off-site events, serving as a knowledgeable ambassador for DCL programs and services to boost awareness and participation.
- Supports event operations through administrative tasks including data entry, assembling marketing materials, and preparing registration tools for on-site use.
- Maintains regular communication with supervisors, providing timely updates and feedback to support event planning and execution.
- Develops proficiency in relevant industry and organizational technology.
- Engages in DCL’s performance feedback process and meets departmental expectations, policies and procedures.

Experience and Qualifications:
Required
- 18 years of age.
- Reliable transportation to all DCL locations throughout Douglas County.
- Basic skills in Microsoft 365 or other productivity, collaboration, and cloud-based services software. Ability to learn and apply new technologies.
- High School diploma or GED equivalent
- Colorado Driver’s License
- One year special event and/or customer service experience
