What are the responsibilities and job description for the Athletic Secretary position at Dorchester School District 2?
LENGTH OF CONTRACT: 225 days
QUALIFICATIONS:
1. This person will have a high school diploma with emphasis on business.
2. Training or experience in office management is desirable.
3. Competent use of office equipment is a necessity.
4. Finance experience preferred.
IMMEDIATE SUPERVISOR: Principal/Athletic Director
SALARY: Scale 110 (Based upon prior experience)
JOB SUMMARY:
To assure the smooth and efficient operation of the school's athletic office so that the office's maximum positive impact on the education of children can be realized.
PERFORMANCE RESPONSIBILITIES:
- Overall administration assistance to the Department with emphasis on day-to-day operations including but not limited to:
- Purchasing Requests & monthly P-card reconciliations
- Accounts Payable & Purchase Orders
- Monthly Gas Card reconciliation
- Preparation of time sheets for Coaches/Gate Workers/Stipends
- Lead home game day operations for ticket gate personnel, security personnel, and hospitality for press box personnel evening hours
- Coordinate with Athletic Director, Principal, and District Office to submit, approve & manage Facility Usage Requests from outside organizations
- Maintains athletic calendar for practices, contests, and athletic functions
- Verify contest Officials scheduling and payments
- Coordinates athletic team/department travel as needed
- Approve required forms for participation in athletics for each athletic season & sport:
- Includes Student Central forms and Power School for academic requirements
- SCHSL required forms for transfer students & foreign exchange students
- Coordinate logistics, announcements, and invitations for athletic department events, ex: NCAA Signing days & awards recognition events
- Assist Athletic Director with coach completion of certifications on Student Central and CPR requirements
- Assist Athletic Director with hiring requirements for new coaches (forms, DO paperwork, etc.)
- Assist Athletic Director with athletic marketing, community relations initiatives, and sponsorships
- Maintain update/news on athletic website and social media pages
- Attends and observes athletic practices, contests, and events, including evenings and weekends, as needed.
- Assists with athletic awards nominations and selections; organizes region awards and distributes accordingly; manages supply of Athletic Letters for each sport
- Ability to communicate and collaborate effectively with a diverse contingent of student-athletes, parents, and staff
