Position Summary:
The Purchasing Clerk plays an integral role in supporting the hotel's daily operations, with a strong focus on Food & Beverage procurement and inventory management. This position is responsible for sourcing quality products, maintaining appropriate inventory levels, and ensuring the accurate and efficient receiving and distribution of all hotel deliveries. As a key partner to the culinary and operations teams, this role helps drive consistency, cost control, and overall operational excellence.
What You'll Do:
- Coordinate the purchasing of food, beverage, and operating supplies in alignment with hotel standards and budget expectations
- Build and maintain strong relationships with approved vendors to ensure quality products and timely deliveries
- Monitor inventory levels across all Food & Beverage outlets, proactively managing reorders and minimizing waste
- Review and reconcile invoices against purchase orders to ensure accuracy and identify discrepancies
- Support cost control initiatives by tracking pricing trends and identifying savings opportunities
- Receive and inspect all incoming shipments, verifying product quality, quantities, and overall condition
- Accurately log, organize, and distribute deliveries to the appropriate departments promptly
- Maintain clean, organized, and compliant storage areas, including dry goods, refrigerated, and beverage storage
- Manage all incoming and outgoing packages for the hotel, including guest deliveries and interdepartmental shipments
- Maintain accurate purchasing and receiving records, including invoices, packing slips, and inventory logs
- Assist with routine inventory counts and audits for Food & Beverage operations
- Partner with department leaders to communicate order updates, substitutions, and product availability
- Ensure adherence to food safety standards, company policies, and operational procedures
What We're Looking For:
- Previous experience in purchasing, receiving, or food and beverage operations, preferably within a hotel or hospitality environment
- Strong attention to detail with the ability to manage multiple priorities in a fast-paced setting
- Solid organizational and problem-solving skills
- Comfortable working both independently and as part of a team
- Familiarity with purchasing systems, inventory tools, and Microsoft Office is preferred
- Strong communication skills and a proactive approach to service
Physical Requirements & Work Environment:
- Ability to lift, push, pull, and carry items up to 30 pounds continuously
- Ability to stand, walk, bend, and move throughout the shift
- Comfortable working in varied environments, including loading docks, storage areas, and refrigerated spaces
- Flexible availability, including weekends and holidays as needed
