We are seeking a detail-oriented and organized Administrative Assistant to join our team. Responsibilities
- Handling incoming customer calls inquiring information.
- Perform data entry tasks with accuracy and attention to detail.
- Maintain organized filing systems for documents and records.
- Assist with scheduling appointments and managing calendars for team members.
- Utilize QuickBooks for basic accounting tasks as needed.
- Support office operations by managing supplies and equipment.
- Prepare reports and presentations using Microsoft Suite and other software tools.
- Collect quotes and coordinate maintenance calls with sub-contractors.
- Collect and pay sub-contractor invoices.
Skills
- Previous experience in administrative position is required.
- Spanish and English are a must.
- Strong computer literacy, including familiarity with Microsoft Office and Google Suite applications.
- Experience with clerical tasks such as filing, data entry, and document preparation.
- Knowledge of phone systems to manage calls efficiently.
- Proficient in basic financial recordkeeping procedures.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills to interact professionally with clients and colleagues.
