Job Summary

The Office Secretary will provide administrative support, help manage daily office operations, and assist in ensuring our programs run smoothly. This role is perfect for someone who loves children, enjoys organization, and thrives in a supportive and structured environment.

Key Responsibilities

  • Coordinate projects and assist in project management tasks
  • Serve as a personal assistant to management, including handling correspondence and scheduling
  • Perform tuition follow-ups and related financial tasks
  • General administrative duties: filing, data entry, maintaining office supplies, opening duties
  • Create and maintain electronic records and computerized documents
  • Provide clerical support: organize files, schedule appointments, manage phone systems
  • Proofread documents for accuracy and completeness
  • Transcribe meeting minutes and other documentation
  • Assist with coordination of private lessons, birthday parties, and special events
  • Weekly cleaning tasks to maintain a clean and welcoming facility

Requirements

  • Proven experience in an administrative role
  • Proficiency with MacBook and Mac software
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks efficiently
  • Experience with phone systems and scheduling
  • Excellent written and verbal communication skills
  • Honest, trustworthy, and eager to contribute to a positive team environment
