Dominican University NY is seeking a full time Student Financial Services Analyst to join the Student Financial Services team. Key duties include processing payments, refunds, and aid, ensuring account accuracy, and serving as a primary point of contact for student financial inquiries, with an emphasis on customer service and problem-solving. will be responsible for various diversified accounting duties relating to accounts receivable, collection management, tuition payment contracts, and core activities to support collection efforts. This position requires a working knowledge of appropriate systems such as but not limited to Jenzabar, PowerFAIDS, and Slate. This positions also requires a great deal of judgement, flexibility, creativity and strong written and oral communication skills.
Typical duties and responsibilities
- Manage, analyze, and maintain student financial accounts in the institution’s student information system (Jenzabar, PowerFAIDS, Slate).
- Ensure accurate posting of tuition, fees, housing, meal plans, and other charges or credits.
- Process payments, refunds, waivers, and adjustments in compliance with institutional and regulatory policies.
- Reconcile account discrepancies and resolve billing or payment errors.
- Serve as the primary point of contact for students and families regarding billing inquiries, payment plans, and financial account issues.
- Explain tuition and fee structures, financial services policies, and payment deadlines in a clear and student-friendly manner.
- Counsel students on financial responsibility, payment options, and potential financial holds impacting registration or graduation.
- Provide guidance on available financial resources, such as scholarships, financial aid disbursements, and external payment programs.
- Monitor and maintain student payment plans; ensure timely collection of scheduled payments.
- Implement and follow up on financial holds, late fees, and payment reminders as per policy.
- Perform account reconciliations and prepare reports on student receivables, payment trends, and outstanding balances.
- Analyze financial data to identify patterns, anomalies, and opportunities for process improvements.
- Support audits, compliance reviews, and end-of-term or fiscal year closeout processes.
- Ensure adherence to federal, state, and institutional regulations (e.g., FERPA, Title IV, IRS Form 1098-T reporting).
- Maintain detailed documentation of student interactions and account adjustments for audit and compliance purposes.
- Assist with updating and interpreting billing policies and procedures to ensure clarity and consistency.
- Collaborate with departments such as, Controller’s office, Registrar, Residence Life, and Admissions to coordinate accurate student billing.
- Participate in cross-departmental initiatives to enhance the student financial experience and streamline workflows.
- Recommend and implement improvements to student account processes, systems, and communications.
- Utilize and support institutional ERP systems (Jenzabar, PowerFAIDS, Slate) and payment processing tools.
- Assist with system testing, data validation, and implementation of new features or upgrades.
- Generate queries and reports to support departmental needs and decision-making.
- Other duties as needed.
Education and experience
4-year Accounting or Finance Degree- Required

- Excellent communication and interpersonal skills
- Ability to work independently and with others
- Working knowledge of financial aid eligibility requirements and programs
- Proficiency with a variety of computer applications and reporting tools, including Microsoft Outlook, Word and Excel
- Excellent customer service skills a must.
