This is an individual contributor role that serves as the main point of contact for our customers, vendors and designers to help answer questions and resolve issues regarding products, orders, and services.
The Operations Specialist will be provided with sufficient training using processes that have already been established. From there, you will essentially be your own boss. We do not believe in micro-managing our employees, and for the most part, you will work independently. In the end we are a team though, and we are always willing to step in where assistance may be needed. Our ideal candidate will have that same “jack of all trades” mentality. You must also be an organizer, a positive person, a multitasker, have excellent computer skills, and be a fast learner.

The number one thing he/she must be is detail-oriented. Being able to demonstrate professional written communication is also key.

Please note that this is not a remote position; rather, it is a full-time position in our Temecula Showroom office.
DIY or Hands-on experience in home improvement industry is preferred but not required.
Job Duties
1. Answering Incoming Customer Inquiries
- Answers incoming phone calls, voice mails and emails promptly
- Interact with walk-in customers in a friendly and professional manner
- Categorize incoming inquiries as either potential sales leads, claims or other and record them accordingly
- Help potential customers to understand our product offerings and navigate the web site
- Transfer/forward potential sales leads to designer/sales personnel
- Provide order shipment schedule and tracking information
- Explain our claim policy and help customers in claim(s) filing
2. Processing Orders and Shipments
- Send out sample orders as soon as they are received and batch reorder samples from vendors as needed
- Alert new design/quote to proper designer/sales personnel
- Send orders to vendors; when more than one vendor is involved in certain order, split orders and send to multiple vendors
- Promptly check inventory availability for each order
- Review vendor order invoice to make sure our order costs are in alignment with our listing vendor costs before giving vendor written approval for vendor payment charge
- Communicate with both customer and vendor and make necessary order change(s) and payment adjustments when there is an inventory problem
- Check all pre-shipment pictures sent by vendor warehouse to make sure palletized product items match that in the purchase invoice
- Use designated shipping software to select proper carrier for shipment of order
- File claim with shipping carrier or vendor and follow up until issues are resolved
3. Record Keeping
- Document all orders in company Dropbox account
- Order invoice
- Packing slip
- Vendor purchase order cost
- Vendor charge receipt
- Shipment carrier cost quote
- Shipment Bill of Lading and Pro tracking number record
- Images of shipment from vendor warehouse
- Any claim images and information
- Handling and documenting all claims
