What are the responsibilities and job description for the Marina Administrator position at Doctors Lake Marina?
Overview
We are hiring a Marina Administrtator who already lives in QuickBooks Online and wants to grow into the General Manager seat. Day one, you own the numbers: slip and dry-storage billing, fuel, store sales, payables, receivables, and a clean monthly close. Over time, the person who knows where every dollar comes from is the person we want running the marina. This is not a remote bookkeeping contract. You will be on site, learn the operation, and take on more of the business as you prove you can.
Responsibilities
- Run the marina’s books in QuickBooks Online: chart of accounts, classes or locations for slips, dry storage, fuel, store, and rentals, and a monthly close the owner can trust
- Bill wet-slip and dry-storage customers. Track contracts, deposits, recurring charges, late fees, and credits. Keep accounts receivable current.
- Reconcile the fuel dock: gallons in, gallons out, daily sales, and inventory variance.
- Process accounts payable, vendor bills, and 1099 tracking. Match invoices to work actually done on the property.
- Reconcile bank accounts, credit cards, and merchant deposits. Catch shortages and duplicate charges early.
- Prepare a simple monthly package: profit and loss, balance sheet, occupancy and aging snapshot, and a short note on what moved.
- Support payroll inputs, sales-tax filings, and coordination with the outside CPA. You do not have to be the CPA. You do have to hand them clean books.
- Be the office face for billing questions. Slip holders should get a straight answer.
- Learn dock, yard, fuel, and customer operations so the move into general management is real, not a title change.
Experience
- Extensive, hands-on QuickBooks Online experience. You can build a chart of accounts, reconcile, run reports, and fix a messy file. Certification is a plus, not a substitute for having done the work.
- At least 3 years of bookkeeping or accounting for a small business with recurring billing, inventory, or point-of-sale. Marina, boatyard, HOA, storage, or property-management experience is a strong advantage.
- Clean accounts receivable habits. You follow up, you document, and you do not let balances age in silence.
- Discretion. Customer accounts, vendor terms, and owner financials stay private.
- Clear writing and a calm phone manner. You will talk to slip holders about money.
- Willingness to be on the property, learn the docks, and grow into operations.
- A valid driver’s license.
Nice to Have
- QuickBooks Online ProAdvisor certification, or equivalent advanced QBO work.
- Experience with marina billing software, fuel-inventory systems, or a POS tied to QuickBooks.
- Florida sales tax, commercial property, or Clean Marina familiarity.
- Prior supervisor experience, even of a small office.
Path to General Manager
The bookkeeper seat is the on-ramp. We will teach the marina side to someone who already has the financial side. Growth looks like this:
- First, own the books, billing, and the monthly close without being chased.
- Then take on contracts, vendor management, and parts of staff scheduling and customer issues.
- Then step into General Manager: daily operations, the crew, occupancy, and the P&L, still reporting to the owner.
Candidates who only want a back-office bookkeeping job, with no interest in running a marina, are not the right fit.
