As a Transaction Coordinator with Docs In a Row, you will manage real estate files from contract to close and ensure every detail is handled with precision. You’ll arrange inspections, assist with escrow documentation, schedule repairs, track deadlines, and make sure offers and counteroffers are executed accurately and on time.The right person enjoys helping others, loves creating structure, and thrives in a fast-paced, high-volume environment. This role offers the chance to grow, expand your skill set, and increase your income as you take on more responsibility.Docs In a Row, led by Dawna Eshleman, supports real estate agents with high-volume, contract-to-close services. We are seeking someone who brings heart, grit, and an exceptional eye for detail. You must be licensed or willing to obtain your real estate license, and we are open to training the right person, because for us, talent, attitude, and work ethic matter most.This position works out of the Exton Keller Williams office Tuesday–Wednesday–Thursday, with remote work on Monday and Friday (non-negotiable).CompensationBase salary range: $52,000 – $56,160Estimated bonus income: $9,000 – $10,000 (based on ~180 closings)Paid Time OffCompensation:$61,000 – $66,000 OTEResponsibilities:Input client and transaction information into the system, track all contract milestones, and submit required documents for broker complianceOversee all administrative tasks related to buyer and seller transactions from executed purchase agreement through closingArrange home inspections, coordinate access, schedule repairs, and assist in negotiating inspection responsesEnsure offers, counteroffers, and all addenda are correct, complete, and fully executedAssist with escrow documentation and ensure all contractual timelines are metCommunicate consistently with agents, clients, lenders, title companies, and vendors to ensure a smooth and successful closing processArrange and support closing-related appointments, including walkthroughs and key exchangesManage post-closing communication and maintain repeat-client systemsKeep the lead agents and team informed regarding any issues, problems, or delays in the transactionAssist with team systems, processes, and operational improvements as neededManage all incoming and outgoing communication, leads, referrals, and track sources of businessMaintain and update calendars and appointments for multiple team membersProvide customer service, consult with clients, problem-solve closing issues, and support a high-level client experienceMaintain vendor relationships and coordinate necessary servicesSupport the company in managing office logistics, organization, and process implementationMaintain a high level of detail, accuracy, and accountability for every file you touchQualifications:Strong written and verbal communication skillsHigh-level organizational and project management abilitiesHeart, grit, service-based attitude, and commitment to excellenceLicensed or willing to obtain a real estate license (required; support provided)Tech-savvy and comfortable learning new systems quicklyAbility to multitask, prioritize, and work efficiently in a fast-paced, high-volume environmentStrong critical thinking and problem-solving skillsComfortable handling strong personalities and maintaining professional communicationExtremely detail-oriented; must love checklists and completing a large volume of tasksLearning-based, coachable, and eager to growAbility to work independently while maintaining high standardsA “CAN and WILL DO” attitude—willing to step in wherever needed to support the team’s successAbout CompanyDocs In a Row is a trusted, high-volume transaction coordination company known for its commitment to accuracy, communication, and exceptional client service.
