What are the responsibilities and job description for the Meeting Coordinator position at dLPlan Meetings & Events?
We’re seeking an energetic detail-oriented Meeting Coordinator to support our team in planning and executing national and state-level conventions and conferences, primarily for association clients. In this role, you’ll work closely with senior planners and clients to ensure every logistical detail is covered, before, during, and after each event.
Key Responsibilities
- Assist with planning and logistics for association conventions, meetings, and special events
- Coordinate travel, housing blocks, vendor communications, and internal timelines
- Manage attendee registration, speaker coordination, and customer service communications
- Prepare and maintain event documentation including timelines, contracts, and reports
- Assist with exhibitor and sponsor communications, tracking deliverables, and managing logistics
- Provide on-site support including registration desk staffing, signage placement, session monitoring, and vendor oversight
- Support the creation of meeting materials including name badges, signage, programs, and event collateral
- Work with venues and third-party providers (audio visual, catering, exhibit contractors, security) to ensure smooth operations
· Pack and ship event materials, reordering supplies as necessary
· Provide customer service support for attendee registrants and exhibitors both in email and phone
- Assist with post-event evaluations, surveys, billing, and follow-up reporting
Qualifications
- Bachelor’s degree preferred
- 3 years of professional work experience
- Strong organizational, time management, and multitasking skills with great attention to detail
- Ability to problem solve
- Ability to work efficiently within a team and independently
- Clear and professional communication skills both written and verbal
- Strong software skills in programs such as Microsoft Office, CVENT, Google Docs, Zoom, and other digital platforms
- Ability to travel for national/state events, as required
- Must have valid drivers license and US Passport
- Willingness and flexibility to work nights and weekends, as required to fulfill business operations
- Ability to lift and carry up to 30 lbs and walk and stand for long periods of time

Pay: $43,000.00 - $50,000.00 per year
