Job Summary
As a Client Outreach Specialist supporting the Rekey Program, you will work with a large IOT provider assisting properties where a business device was previously installed but is currently offline or has been removed. Your goal is to connect with the property and schedule a technician to service or reinstall the device.
The role focuses primarily on outbound client outreach, account research, appointment scheduling, technician coordination, and accurate documentation. You may also provide support to other areas of the business as needed.
We are looking for someone who is reliable, punctual, focused, organized, independent, and able to learn and adapt quickly.
Key Responsibilities
Client Outreach
- Make outbound calls to properties assigned through the Rekey Program.
- Research and identify accurate contact information when needed.
- Communicate with property contacts to gather information and coordinate next steps.
- Follow up with contacts through phone and email as needed.
Account Research & Documentation
- Review previous account information and property history.
- Research phone numbers, contacts, and other information needed to successfully reach the property.
- Maintain accurate and detailed notes for calls, emails, appointments, and follow-up activity.
- Keep account and appointment information current and organized.
Appointment & Technician Coordination
- Schedule technicians to service or reinstall devices.
- Identify the appropriate technician based on location, availability, and service requirements.
- Confirm appointment information and communicate necessary details.
- Follow up on scheduling issues and outstanding appointments.
Productivity & Follow-Through
- Meet established daily call and productivity goals.
- Manage assigned accounts and follow through on outstanding requests.
- Stay organized and prioritize daily activities to keep accounts moving forward.
- Take ownership of assigned work through successful scheduling or resolution.
Additional Support
- Provide support to other areas of the business as needed.
- Learn and assist with additional processes and responsibilities as business needs evolve.
Essential Skills
- Communication Skills: Strong written and verbal communication skills for interacting professionally with property contacts, clients, technicians, and internal teams through phone, email, and Microsoft Teams.
- Research & Problem-Solving: Ability to research contact information, review account history, identify next steps, and work through challenges independently.
- Attention to Detail: Strong attention to detail when reviewing account information, documenting interactions, scheduling appointments, and maintaining accurate records.
- Technical Proficiency: Comfortable using Microsoft Office, email, Microsoft Teams, and customer or account management systems, with the ability to learn new software and processes quickly.
- Organizational Skills: Ability to manage multiple accounts, maintain accurate documentation, prioritize daily activities, and keep tasks moving forward.
- Time Management: Ability to manage time effectively, meet daily call and productivity goals, prioritize follow-ups, and complete assigned work within expected timeframes.

Requirements
- Previous experience in client support, customer service, scheduling, call center, or administrative support is preferred.
- Comfortable using computers, email, Microsoft Office, Microsoft Teams, and customer or account management systems.
- Ability to learn new software, systems, and processes quickly.
- Reliable attendance and punctuality are required.
- Ability to work in-office Monday–Friday, 9:00 AM–5:00 PM.
- Ability to work independently in a goal-oriented environment.

Success in this role means consistently moving Rekey accounts forward. You will be expected to maintain daily activity, make quality contacts, accurately document your work, schedule technicians effectively, and follow through on outstanding requests.
