The Role
We are looking for a detailed and trustworthy Bookkeeper to take ownership of our financial records. This role is not just about data entry; it is about helping us understand the financial health of our projects. You will work closely with the owner and the administrative team to ensure subcontractors are paid, draws are managed, and job costs are accurately tracked.
Key Responsibilities
Financial Management & Job Costing
- Job Costing: Accurately code and allocate expenses to specific house builds/projects. Ensure we know exactly how much has been spent on every active job.
- Accounts Payable (A/P): Verify and process invoices from subcontractors and vendors. Ensure bills are paid on time and manage vendor relationships.
- Accounts Receivable (A/R): Manage client invoicing and track construction draws/payments from banks or homeowners.
- Bank Reconciliations: Reconcile bank accounts and credit card statements monthly to ensure accuracy.
Compliance & Reporting
- Vendor Compliance: Track subcontractor insurance certificates (COIs) and W-9s to ensure all workers are compliant before payment is released.
- Reporting: Prepare weekly/monthly financial reports (Profit & Loss, Balance Sheet, Budget vs. Actuals) for management review.
- Lien Waivers: Manage and track lien waivers from subcontractors and suppliers.
- Transaction Desk & Records Management: Maintain accurate and up-to-date records in Transaction Desk and Buildertrend. Organize, file, and track contracts, warranties, and other key documents.
- Contractor Compliance: Track contractor insurance, licenses, and other required compliance documentation. Monitor deadlines to ensure no lapse in compliance.
- Bidding & Contracts: Assist in bidding, contract preparation, and change orders. Ensure all contracts and agreements comply with company standards and legal requirements.
Qualifications
- Experience: Proven experience as a bookkeeper is required. Experience in the construction or real estate industry is highly preferred.
- Software Proficiency: Strong proficiency in QuickBooks (Desktop or Online) and Microsoft Excel. Familiarity with construction management software is a plus.
- Attention to Detail: You must be obsessed with accuracy. A small error in job costing can throw off a project’s entire budget.
- Organization: Ability to handle multiple projects and deadlines simultaneously without getting flustered.
- Integrity: You will handle sensitive financial data and company funds; high ethical standards and confidentiality are non-negotiable.
Pay: $25.00 - $35.00 per hour
