We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this role, you will serve as key member of our office operations, while also providing support to our Administrative and Finance Departments.
Responsibilities
- Greet visitors, manage phones, monitor security cameras and handle access.
- Open mail, coordinate UPS deliveries/postage, and schedule shredding services.
- Order office and kitchen supplies, maintain office cleanliness, and serve as point of contact for office equipment.
- Coordinate company meetings, cultural events, and celebrations.
- Maintain trackers for employee milestones and children’s birthdays, manage volunteer hours and gift card stock.
- Perform background checks, handle new hire onboarding, and manage offboarding duties.
- Help facilitate health insurance open enrollment, manage 401k eligibility/changes, and reconcile monthly insurance invoices.
- Maintain the OSHA tracker and annual reporting, report workers’ compensation accidents to insurance carrier.
- Process weekly payroll, prepare reports, and distribute direct deposit notifications.
- Manage petty cash, cell phone reimbursements, and employee apparel allowances.
Experience
- 2 years of administrative or office support experience.
- Exceptional organizational skills and the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite.
- Strong written and verbal communication skills.
