We are looking for a dedicated, full-time professional to join our onsite team and serve as a cornerstone of our client experience.
This is a critical onsite position requiring a high level of professional presence and technical accuracy. As a Customer Service Representative, you will be the "Director of First Impressions," managing inbound client inquiries and providing high-touch support for our executive advisor team. You will work directly in our San Jose office, collaborating closely with leadership to ensure every retiree who contacts our firm receives a world-class experience.
Location: San Jose, CA (100% Onsite)
Compensation: $50,000 – $80,000 per year

Key Responsibilities
- Direct Client Engagement: Manage inbound phone calls and web inquiries with a warm, professional demeanor; act as a trusted guide for clients starting their retirement planning journey.
- Onsite Coordination: Manage the office calendar and schedule in-person and virtual consultations for the licensed advisor team.
- Complex Data Entry: Accurately capture and update client information in our internal systems during live conversations (high-speed typing and attention to detail are mandatory).
- Application Support: Assist in the preparation, auditing, and processing of insurance and retirement planning documentation to ensure 100% compliance.
- Office Collaboration: Work cross-functionally with our onsite team to prepare materials for client meetings and ensure smooth daily operations.
Qualifications
- Experience: 2–5 years of professional experience in a similar customer-facing or administrative role.
- Industry Background: Required experience within Banking, Insurance, or Financial Services.
- Onsite Presence: Ability to work full-time out of our San Jose, CA office.
- Communication: Exceptional verbal and written skills; you must be comfortable on the phone and able to explain complex topics to seniors with patience and clarity.
- Technical Skills: * Efficient typing speed (60 WPM preferred) and high data entry accuracy.
- Proficiency in Microsoft Office Suite and general CRM navigation.
- The "Soft Skills": A "service-first" mindset and the ability to maintain a calm, professional environment in a fast-paced office.
