This role requires excellent communication skills, impeccable attention to detail, and the ability to anticipate the needs of executives in a fast-paced environment.
Special focus to be placed on:
- Coordinate and manage complex schedules, including arranging meetings, appointments, and travel arrangements for executives. Prioritize conflicting demands and ensure efficient use of executive's time.
- Manage email correspondence and respond on behalf of executives when necessary.
- Prepare and edit reports, presentations, and other documents for internal and external distribution. Maintain accurate records and files, ensuring confidentiality and compliance with company policies.
- Assist in the planning, coordination, and execution of special projects and initiatives as directed by executives. Track project deadlines, milestones, and deliverables to ensure timely completion.
- Provide general administrative assistance, including drafting correspondence, managing expenses, processing invoices, and maintaining office supplies and equipment.
- Organize and facilitate meetings, including scheduling, preparing agendas, recording minutes, and following up on action items. Preparing the boardrooms for meetings, events, etc.
- Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visas, ensuring a seamless travel experience for executives.
- Maintain confidential information with utmost discretion and professionalism. Organize and prioritize incoming requests and tasks, ensuring timely responses and resolution.
- Build and maintain positive relationships with internal teams, external partners, clients, and vendors.
- Serve as a liaison between executives and various stakeholders, fostering open communication and collaboration.
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience as an executive assistant or similar role, preferably supporting C-suite executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Alabama Notary preferred or willing to obtain notary license within 3 months.
- Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality in handling sensitive information and communications.
- Detail-oriented with a high degree of accuracy in work output.
- Flexibility and adaptability to changing priorities and requirements.
- Ability to work independently with minimal supervision.
- Professional demeanor and positive attitude, with a proactive approach to problem-solving.
