What are the responsibilities and job description for the Shipping & Fulfillment Coordinator position at Ditto?
The Shipping & Fulfillment Coordinator is responsible for the accurate and timely receiving, inventory management, fulfillment, packaging, and shipment of customer orders and products. This role helps maintain quality standards, meet service-level agreements (SLAs), and support an organized and efficient production and warehouse environment.
Shipping:
- Prepare items for shipment against Orders/Tickets, ensuring accurate quantities and destinations.
- Inspect Orders/Tickets for adherence to shipping requirements and record any quantity or recipient discrepancies.
- Prepare shipments for postal or commercial transportation by selecting appropriate shipping materials, packing items securely, and following the requirements defined on the Ticket.
- Ensure timely processing of assigned Ditto jobs in accordance with defined SLAs.
- Maintain timely and accurate shipping records.
- Sort, count, package, label, and log inventory designated for shipping.
- Conduct quality-control checks on packaged and printed materials to ensure adherence to shipping guidelines. Re-box items that have been packaged inappropriately.
- Trace lost shipments, assist with carrier claims, and provide proof-of-delivery documentation upon request.
- Communicate with the Order Owner regarding orders requiring special shipping considerations.
- Monitor shipping methods and materials to identify opportunities for cost savings and increased efficiency.
- Manage shipping-material usage and inventory, submitting reorder requests as needed.
Receiving & Inventory:
- Monitor Door 2 and the loading dock bell/Ring, responding promptly to FedEx, UPS, and other deliveries.
- Update Receiving orders and follow all instructions related to deliveries, inventory, and warehouse management.
- Promptly update the Order status to notify the Order Owner that the package has been received.
- Inspect received packages for in-transit damage and verify the contents for accuracy.
Fulfillment:
- Pick, count, assemble, package, and label customer orders according to job tickets and fulfillment instructions.
- Verify product versions, quantities, packaging requirements, and shipping destinations before orders are released.
- Complete kit assembly, product bundling, special packaging, and other fulfillment activities as assigned.
- Accurately record inventory used and update applicable order and inventory information in DASH.
- Report inventory shortages, damaged products, quantity discrepancies, or unclear instructions to the appropriate Order Owner or manager.
- Perform quality-control checks to ensure completed orders meet Ditto’s standards and customer requirements.
- Maintain organized fulfillment work areas and ensure supplies and materials are properly stored and readily available.
General:
- Maintain organized, clean, and safe Shipping, Quick-Pick, and Client Warehouse areas, ensuring all locations are properly maintained.
- Follow established department policies and procedures and communicate through appropriate channels, including Order comments and statuses.
- Perform other job-related duties as assigned.
- Escalate shipping delays, inventory shortages, damaged shipments, receiving discrepancies, and carrier-related issues to the appropriate Order Owner or manager.
Qualifications & Requirements:
- Experience with shipping, fulfillment, warehouse, logistics, or inventory management preferred.
- Intermediate computer skills, including Microsoft Outlook, Teams, Excel, and web-based systems.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Experience with or ability to learn shipping software, including FedEx Ship Manager, FedEx InSight, UPS Quantum View, UPS WorldShip, and Ditto’s internal and board tools.
- Excellent communication and organizational skills.
- Exceptional attention to detail.

Pay: $20.00 - $22.00 per hour
