General Summary:

The Middle School Athletic Coordinator is an educational leader at the school. The Coordinator for Middle School LEAP oversees all tasks related to the middle school athletic program. This position ensures effective organization, communication, and operation of middle school athletic activities while supporting student participation, volunteer coaches, and program development. This position serves as a liaison between middle school athletics (LEAP), the LEAP Director, and the high school athletics program. 

Duties and Responsibilities

  • Provides supervision and oversight to the middle school LEAP and MHSAA Athletics programming, including coaches and student athletes. Enforces discipline, eligibility, and sportsmanlike behavior at all times, and establishes and oversees penalties for breach of such standards by individual students.
  •  Enforces all rules TCAPS and of the MHSAA, as applicable, related to the middle school LEAP athletic program.
  • Serves as a liaison between the high school athletic program and the LEAP Director.
  • Responsible for all matters relating to the organization, administration and philosophy of the middle school LEAP program at the building level.
  • Assists the high school athletic directors and varsity head coaches in recruitment and selection of coaches (paid and volunteer).
  • Recruits, trains, and supports staff and volunteer coaches for middle school athletic programs.
  • Schedules, communicates, and conducts pre-season coaches meetings.
  • Works with Human Resources to ensure all volunteers are appropriately approved through i-chat.
  • Coordinates with the LEAP Office and middle school coaches on with communications to parents/families of programming options, registration requirements, and other communications as requested.
  • Assists the coaches with arranging and scheduling practices and organizing gym ime throughout each season.
  • Works with the LEAP Office to maintain an accurate and current team and program rosters for each sport.
  • Develops and distributes officials’ game assignments.
  • Assists in developing and distributing contest schedules for all middle school sports (boys tennis, cross country, volleyball, football, girls’ basketball, boys’ basketball, wrestling, track, girls tennis, and girls’ softball).
  • Works with high school coaches and athletic leadership to develop continuous methods to improve educational athletic programming, including mini-camps and coaches’ clinics.
  • Coordinates and attends LEAP-sponsored high school games, coaches’ clinics, and mini-camps to support program continuity.
  • Coordinates with high school coaches and high school athletic directors on LEAP game days for basketball, volleyball, and other athletic programs.
  • Prepares and distributes player rosters and coaches’ rosters.
  • Communicates schedules and rosters to middle school administrative assistants.
  • Responsible for the final compilation of the eligibility list in each sport, which occurs eight times a year. Notifies coaches, parents and athletes of all the requirements.
  • Responsible for ensuring that no participant is issued equipment or allowed to practice until his/her physical examination card is completed and on file.
  • Ensures that no bullying/hazing occurs throughout sports programming.
  • Enforces rules and regulations concerning conditioning of players and their health and safety. Ensures injuries and accidents are reported consistent with district  policy and practice.
  • Schedules field maintenance with the district’s Facilities Department for athletic facilities.
  • Collaborates with the LEAP Administrative Assistant, Coaches and Building Administration with making arrangements for athletic facilities for practices and games in accordance with the district’s scheduling process.
  • Schedules track officials and timers for meets.
  • Directs middle school track and field meets.
  • Starts and times cross country meets.
  • Attends games to evaluate officials and coaches.
  • Responsible for providing and coordinating game administrative supervision, game officials, and ticket takers for home games.
  • Manages athletic equipment inventory and storage areas. Provides oversight, in coordination with the coaches, of the uniform check out and return process.
  • Oversees the safety condition of the facility or area(s) in which athletics are conducted at all times that students are present. Ensures student supervision until all student-athletes have left the facility. 
  •  In conjunction with the LEAP Director is responsible for maintaining the site’s athletic budget.
  • Assists with middle school open houses and promotional events to increase program participation when needed.
  • Assists with maintaining the master athletics calendar.
  • Maintains a busy athletics office including answering phones, responding to emails, and managing written and verbal communications.
  • Manages the volunteer coach application process.
  • Tracks program enrollment and prepares participation summaries when requested.
  • Facilitates events, award ceremonies, and other promotional initiatives.
  • Responsible for ensuring that all co-curricular activity programs are adhering to related Board of Education policies, state and federal laws, and MHSAA requirements.
  • Performs other duties as assigned.

Knowledge, Skills, and Abilities Required

  • General working knowledge of middle school athletic programs and sports.
  • Knowledge and understanding of middle school athletics. Maintains competency in MHSAA rules, event procedures, coaching techniques and general information about all aspects of the sport.
  • College degree and/or previous relevant work experience required.
  • Competency in Google Suite, particularly Google Sheets.
  • Working knowledge of computers and technology systems.
  • Excellent organizational skills with strong attention to detail and time management.
  • Excellent communication and public relations skills.
  • Ability to speak effectively in front of groups.
  • Ability to manage multiple tasks and projects simultaneously.
  • Demonstrates proficiency in spelling, grammar, and information technologies.
  • Dependable, reliable, and capable of maintaining sensitive and confidential information.
  • Ability and willingness to collaborate with department co-workers.
  • Availability to work afternoon and evening hours.
  • The person in this position needs to be able to move about the school building with ease, including stooping or crouching, walking, and general movement.
  • The ability to listen and effectively communicate, both written and orally, information and ideas to a diverse population.
  • Ability to effectively discern information and formulate appropriate action(s).
  • Ability to critically think and provide appropriate solutions.
  • Ability to work effectively and efficiently in high stress or conflict situations.
  • Occasionally moves boxes and equipment weighing up to 50 lbs.
  • Ability to drive to various locations throughout the district.
  • Ability to work in both indoor and outdoor environments with moderate to loud noise levels. Work may be completed in controlled temperature conditions; however, duties may be completed in cold and hot temperatures or inclement weather conditions.
  • Must be available for overtime and/or emergency overtime before and/or after regular scheduled workday, when necessary.

Additional Knowledge, Skills, and Abilities Preferred

  • CPR and First Aid certification preferred.
  • High-energy individual with a passion for youth athletics and student engagement.
  • Teaching and/or administrative experience.
  •  Minimum of three (3) years of successful athletic coaching experience.

Environmental Conditions:

This is a largely sedentary assignment, with most of the duties performed on a computer or phone in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Incumbents may also work in both indoor and outdoor environments with moderate to loud noise levels. Work may be completed in controlled temperature conditions; however, duties may be completed in cold and hot temperatures or inclement weather conditions.

 

Work Schedules:

Must be available for overtime and/or emergency overtime before and/or after regular scheduled workday, when necessary.
