POSITION: Secretary 2026-2027
LOCATION: District Office
QUALIFICATIONS: High school diploma required. An associate’s degree or previous clerical experience is preferred.
REPORTS TO: Assistant Superintendent for Instruction and Multiple Directors
GENERAL SUMMARY:
Serves as the first point of contact for the District Office and provides receptionist and clerical support for daily operations. Performs a variety of duties, including greeting visitors, answering incoming calls, routing inquiries, processing mail, scheduling appointments, maintaining records, and supporting district staff as needed.
PERFORMANCE RESPONSIBILITIES:
- Greets and assists visitors to the Instructional Team area of the Middle Tygers Early Learning Center in a professional, friendly, and helpful manner
- Answers incoming telephone calls, provides information when appropriate, routes calls to the appropriate staff member, and takes accurate messages.
- Receives, sorts, and distributes incoming mail, packages, and deliveries, and prepares outgoing mail.
- Maintains the front reception area in an organized and welcoming manner.
- Assists with scheduling appointments, meetings, and conference space use as assigned.
- Types, completes, and files various documents, records, and reports such as letters, memoranda, forms, agendas, invoices, purchase orders, and other office materials.
- Provides clerical support to district administrators and office staff as assigned.
- Assists with data entry, record maintenance, and document preparation.
- Handles confidential information and documents in an appropriate manner and maintains confidential files and records.
- Responds to routine questions from staff, parents, students, vendors, and community members, and directs more complex matters to the appropriate department.
- May assist with district communications, publications, and special events as assigned.
- May order, control, and monitor office supplies and equipment for the instructional offices.
- Provides clerical assistance as needed to support efficient district office operations.
- Interacts with various persons in the performance of duties, including school administrators and staff, students, parents, business representatives, government officials, and community members.
- Operates general office equipment such as a computer, copier, scanner, multi-line telephone system, and other standard office equipment.
- Performs other related duties as required.
WORKING CONDITIONS:
Conducts duties in an office environment with no significant exposure to environmental conditions. Requires the ability to work under a degree of stress related to duties that require constant attention and meeting deadlines. Physical demands are limited to office work requiring lifting or moving items up to 25 pounds. The job requires operating standard office equipment. The nature of the job requires frequent use of computers and monitors for long durations.
