JOB DESCRIPTION: To provide services and support to ensure smooth and efficient operations for the Operations Departments and to support the Executive Director of Operations. To maintain friendly and effective relationships with various groups, including citizens of the community and district staff members.
QUALIFICATIONS: High school diploma or equivalent with excellent grammar, language, and writing skills. Computer skills including familiarity with Word, Excel, and PowerPoint preferred. University coursework relevant to area preferred. Must possess excellent human relations skills and have demonstrated executive-level secretarial experience, with a proven ability to adapt to changing work priorities. The ability to support the Executive Director for Operations by problem-solving, using data effectively, setting priorities, maintaining schedules, and working collaboratively to meet deadlines is critical. Three years of secretarial/administrative assistant experience. Able to maintain the confidentiality of the information and work with a variety of individuals.
RESPONSIBILITIES:
- Support and assist the Executive Director in confidently and independently providing quality services to students, staff, principals, and the community.
- Provide general secretarial services to the Executive Director, including the composition of routine correspondence, screening and routing of incoming correspondence and other materials, based on awareness of the general importance and priority of the subject, and maintenance of the calendar.
- Provide bookkeeping services, maintain confidential files; exercise care in the collection, compilation, and protection of such information.
- Develop and organize documents pertaining to operations, long- and short-range planning, and end-of-year reports, etc.
- Prepare periodic district and governmental reports as directed.
- Maintain and reconcile staffing, budgets, and invoice processing for operations, as assigned.
- Prepare department action items for Governing Board meeting agendas.
- Collect and relay personnel time accounting documents for the Operations Departments as assigned.
- Support the implementation of the systematic review and updating of Governing Board Policy and district handbook.
- Assist in the continued development of skills to ensure the success of district office teams.
- Perform other duties as assigned.
SALARY: EXEMPT Twelve-month position, beginning salary Level 37, employee benefits in accordance with Board Policies. This position is considered EXEMPT from the requirements of hourly employees under the Fair Labor Standards Act.
EVALUATION: Performance to be evaluated in accordance with Board Policy on the evaluation of support personnel.
